Experience Required
Responsible for supporting the Cooper Heart Institute operations and leadership through effective data management, document organization, and coordination of incoming and outgoing correspondence. Maintains confidentiality while managing personnel and financial documents, including payroll support. Provides administrative and operational assistance to the CHI director and Division Clinical leaders with accounts payable, employee reimbursements, financial reconciliations, vendor contracts, financial reporting, and quality assurance meeting minutes.
Supports the management of Heart Institute schedules to optimize utilization of space and resources. Serves as liaison for physicians, addressing administrative needs, while also coordinating with vendors and finance teams to ensure accurate invoice processing. Responds promptly to inquiries from vendors and Cooper leadership, applying knowledge of accounts payable, iCooper, Kronos, and finance operations. Demonstrates strong customer service and attention to detail in all aspects of the role.
- 3-5 years preferred
- High School Diploma
- Associate’s Degree preferred
- Communication — Ability to communicate with patients, visitors, and coworkers
- Computer Skills — Ability to create & maintain spreadsheets; navigate a variety of hospital platforms
- Attention to Detail — Ability to keep detailed electronic records while multi-tasking
- Time management — Ability to keep and maintain electronic files ensuring department deadlines are met.
