Project & Maintenance Coordinator
Location: Camrose, Alberta, Canada (This is NOT a remote position and is based at our facility in Camrose, Alberta Canada; the role is situated in Camrose, AB, with occasional travel. There is no camp or remote travel required.)
We’re looking for a Project & Maintenance Coordinator to be a part of our growing Canadian (AB & ON) team. The Project & Maintenance Coordinator is responsible for planning, scheduling, and coordinating capital projects and maintenance activities across multiple sites. This role ensures smooth communication between production, maintenance, and management teams to minimize downtime, maintain production flow, and support safety and quality objectives.
The role works closely with cross‑functional teams including Finance, Operations, Maintenance, and Procurement to ensure efficient execution of both planned and reactive work. The ideal candidate is highly organized, proactive, and skilled in project coordination and vendor management.

ResponsibilitiesProject Planning & Coordination
- Collaborate with Finance, Operations, Maintenance, and Project teams to develop and maintain Capital Plans.
- Define and document project scopes, timelines, and deliverables.
- Source vendors and obtain competitive quotes for project execution.
- Facilitate the approval process for capital expenditures.
- Develop detailed execution plans and lead regular planning and update meetings.
Maintenance & Project Scheduling
- Work with Operations and Maintenance teams in Camrose and Vars to create a preventative maintenance schedule, prioritize and schedule daily, and project‑related maintenance tasks.
- Support the set‑up and tracking of critical spare parts for the maintenance department.
- Utilize proprietary software to manage and track maintenance (records, inspection logs and asset management databases) and project workflows.
Vendor & Resource Coordination
- Coordinate all maintenance and project work by consulting with internal teams and external service providers.
- Source materials and services in collaboration with the Procurement team.
- Schedule and manage third‑party contractors, ensuring compliance with site requirements prior to arrival.
- Facilitate smooth handoffs to on‑site coordinators for execution.
Other Duties
- Maintain accurate records for maintenance, downtime, and production metrics.
- Report on Key Performance Indicators for department.
- Prepare weekly and monthly reports on maintenance performance from production and downtime analysis.
- Communicate updates between departments to ensure alignment on priorities.
- Participate in safety meetings, audits, and compliance inspections.
- Perform other duties and projects as assigned.
Education
- Diploma or equivalent experience.
Experience
- Three to five years of experience in manufacturing, production or industrial maintenance environment.
- Experience with computerized maintenance management systems or production scheduling tools preferred.
- Ability to contribute to the enhancement of current KPI metrics through previous experience.
Qualifications/Requirements
- Strong organizational, time management, multitasking skills with attention to detail, managing multiple priorities and deadlines effectively.
- Excellent communication and coordination abilities.
- Proficient in and Power BI.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint).
- Ability to work independently while supporting a collaborative team environment.
- Problem solving, anticipating issues and providing solutions.
- Teamwork – works collaboratively with production staff and other departments.
- Adaptability – responds well to shifting priorities and production demands.
- Accuracy – ensures precision in reporting and data entry.
