JOB PROFILE AND DESCRIPTION SUMMARY
The Quarry Administrator is a key member of the quarry team and provides reliable day-to-day administrative support to quarry leadership, supervisors, and operational teams. The successful candidate will be detail-oriented, organized, proactive, and capable of maintaining accurate records in a fast-paced site environment. Key responsibilities include maintaining safety and operational records, entering production and KPI data, supporting employee and contractor onboarding, coordinating document and policy control, assisting with purchasing and inventory management, and ensuring records are complete, current, and easy to retrieve.
KEY RESPONSIBILITIES
Administrative Support
Provide administrative support to quarry management
Maintain accurate and organized electronic and hard-copy filing systems
Prepare reports and operational documentation
Coordinate safety meetings and record minutes
Production & Operational Reporting
Enter and maintain accurate daily production and operational data
Compile daily, weekly, and monthly production and operational reports
Verify the completeness and accuracy of operational data prior to submission and reporting
Document & Policy Control
Amend and maintain controlled versions of quarry policies, procedures, forms, templates, and work instructions to ensure documentation is current and readily accessible
Support the drafting, editing, formatting, and periodic review of administrative, operational, safety, and compliance documents
Coordinate document updates with the appropriate department owner, track revisions, and ensure obsolete versions are removed from active use
Assist with preparing documents for audits, client requests, regulatory reviews as required
Purchasing and Inventory Management
Monitor and maintain office, safety, and administrative supplies to ensure required inventory is available to support daily quarry operations
Support cost control by identifying low stock items, recurring purchase trends, and opportunities to improve ordering efficiency
Prepare purchase requisitions as necessary
General Site Administration
Comply with all company health, safety, and environmental policies and actively contribute to a safe workplace
Support employee and contractor onboarding by managing training records, site access requirements, and orientation documentation
Assist with timesheet, attendance, and personnel record coordination to support payroll, scheduling, and workforce planning activities
Draft, format, and distribute site communications, notices, and administrative correspondence
Maintain confidentiality and ensure employee, vendor, operational, and commercial information is handled with appropriate care and discretion
EDUCATION / CREDENTIALS
Minimum of Grade 12 education, or a GED equivalent
Post-secondary education in Business Administration is preferred; equivalent experience will also be considered
EXPERIENCE
Minimum of 5 years administrative experience, preferably in a construction, mining, logistics, or operational environment
Experience maintaining records, preparing reports, and coordinating documentation
Experience with ERP systems would be considered an asset
Experience in quarrying or mining operations would be considered an asset
SPECIAL KNOWLEDGE / SKILLS
Excellent problem solving skills and attention to detail
Excellent computer skills, including good knowledge of Microsoft Office products (e.g. Excel, Word, Outlook, Teams)
Strong written and verbal communication skills with the ability to communicate professionally with employees, contractors, suppliers, and customers
Exceptional organizational skills with an ability to successfully manage priorities in a timely manner
Valid Class 5 driver’s license
Work Schedule & Hours
Monday to Friday, totaling 40 hours per week
This position is based full-time at Hammerstone’s Muskeg Valley Quarry and requires reliable transportation to the worksite
