Job Summary

The Faculty of Engineering and Computing Science has experienced rapid growth and with current expansion in its engineering disciplines. The Faculty’s Undergraduate Office (UO) champions recruiting, admission, advising, student success and graduation services for the Faculty’s students. The population includes a high percentage of international and English-as-an-Additional-Language students.

The person in this role works within a team independently, carrying out a variety of academic advising, analytical and administrative tasks for the programs. Duties include guiding, advising and assisting students and applicants with respect to programs, their course selection, major declaration, prerequisites and requirements, course registrations, academic problems or concerns, updating of students’ records and other to academic student advising related duties.

Data analysis of portfolio and development of metrics that anticipate students’ need for academic support. Communication of data indicators among faculty teams and to student groups.

Advising is constant in nature from the initial student contact until the final approval of graduation requirements and involves communication via email, phone, online and in person. Students seek and receive guidance with academic program planning, preparing for registration, resolving academic problems, offering academic/educational advice, accessing student resources within and outside the university community, and ensuring they will progress toward graduation requirements.

Job Requirements

This position requires a level of education, training, and experience equivalent to a bachelor’s degree plus 2 years of relevant advising experience. An equivalent combination of education, training, and experience may be considered.

  • Proficiency with computer applications (i.e., MS-Office Suite, Adobe Create Suite, content management systems).
  • Experience in maintaining confidential and sensitive information.
  • Ability to prioritize and make appropriate decisions, and to meet deadlines in a fast-paced environment.
  • Knowledge of BANNER, FAST, Bright Space and TCS is considered an asset.
  • Knowledge of the STEM (Science, Technology, Engineering, Math) disciplines is considered an asset.
  • Familiarity with UVic programs, policies, procedures, and business systems is considered an asset.
  • Knowledge of the University’s policies is considered and asset.
