Position Summary This job advertisement is to fill an existing vacancy in the Administrative Professional (Employee Group) position based at our Burlington, Ontario campus. The Academic Coordinator reports to the Faculty Services Manager and provides comprehensive administrative and academic coordination support for academic programs within the Faculty. The role ensures smooth delivery of student services, program operations, and departmental processes while maintaining compliance with institutional policies, procedures, and timelines.
Responsibilities Coordinate administrative activities supporting academic programs, labs, and centres, including program planning, course scheduling, timetabling, and academic documentation.
Support quality assurance activities, including instructor and course evaluations, program reviews, and accreditation requirements.
Provide relevant information (e.g., enrollment projections) to assist program decision-making related to policy, course, or program changes.
Administer program and course change processes via the Undergraduate Programs Committee (UPC).
Liaise with internal and external stakeholders (Registrar’s Office, Academic Advisors, Experiential Education Coordinators, Recruitment) and prepare communications and program updates.
Coordinate teaching budgets, including TA and marker grader assignments, developing budgets, assigning hours, and revising plans in consultation with Chairs.
Oversee TA and instructor contractor entry and support recruitment processes, ensuring compliance with collective agreements.
Monitor TA budgets and offers and review timetables to determine staffing levels and ensure sufficient coverage.
Support digital communications activities, including website updates, promotional materials, and content management, ensuring accuracy, consistency, and alignment with branding guidelines.
Monitor program and department budgets, identifying variances or issues as needed.
Support student lifecycle processes, including admissions, enrollment, registration, academic records management, degree completion activities, internship administration, and student engagement events.
Collaborate with internal and external partners to support faculty operations, projects, events, and strategic initiatives.
Qualifications Diploma or degree in a related discipline.
Experience in academic administration or program coordination.
Experience monitoring budgets, preparing reports, and working with financial systems.
Knowledge of academic policies, procedures, and academic integrity processes within a post-secondary institution.
Proficiency with computer systems and software applications.
Excellent communication and interpersonal skills.
Ability to manage multiple priorities, complex schedules, deadlines, and administrative processes in a fast‑paced environment.
Strong organizational and time‑management skills with attention to detail.
Promotes and embodies inclusivity and respect within the workplace and the broader community.
Preferred Skills Experience supporting academic recruitment, contract administration, or collective agreement interpretation.
Ability and willingness to learn and adapt to emerging technologies, including AI tools and platforms.
Salary & Benefits Job Grade (I), Salary Scale $52,798.00 – $84,476.00. Target hiring range $52,798.00 – $56,100.00. The final salary is based on experience, internal equity, and budget considerations within the target hiring range.
Benefits include full health, dental, and vision coverage; eligibility in the Brock University Pension Plan; up to 3 weeks of vacation per year plus university holidays; and eligibility for the Brock Tuition Waiver Program.
