Position Summary

We are seeking a highly organized and detail-oriented Operations Coordinator to support our Chief Operating Officer and assist with key operational, marketing, and administrative functions. This role is ideal for a motivated, early-career professional who thrives in a fast-paced healthcare environment and wants to gain experience in operations, marketing, and patient services. The Operations Coordinator will play a vital role in keeping projects on track, supporting leadership, and helping our clinic continue to deliver exceptional patient care.

Key Responsibilities
  • Manage the COO’s calendar, scheduling, and communications
  • Prepare reports, presentations, and internal documentation
  • Track projects and action items, ensuring timely follow-up
  • Coordinate operational processes and maintain organized records
  • Assist with marketing campaigns, social media, and digital outreach
  • Support patient and client communication initiatives as needed
  • Help maintain CRM systems and compile data for business decisions
  • Liaise between departments to streamline workflows and ensure alignment
Qualifications & Requirements
  • Bachelor’s degree required (Business, Marketing, Communications, or related field preferred)
  • 1–2 years of relevant experience in administrative, operations, or marketing support (internships included)
  • Excellent organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office or Google Workspace; familiarity with CRM tools a plus
  • Ability to prioritize multiple tasks in a fast-paced environment
  • Professional, proactive, and eager to learn
Preferred Attributes
  • Experience in healthcare, fertility, or medical practice operations
  • Familiarity with HIPAA compliance and patient communication standards
  • Interest in healthcare marketing and business development
  • Positive, collaborative attitude and commitment to continuous improvement
