Job Role: Receptionist & Administrator

Salary
: £24,484.00 FTE (pro rata)

Location: Canterbury

Working Pattern

15 guaranteed hours per week, working Monday and Tuesday, 9:00am to 5:30pm (with a one-hour unpaid lunch break).

Additional hours may be available to provide reception cover during periods of annual leave and other planned absences.

We are looking for a friendly, organised and professional Receptionist & Administrator to join our Canterbury office on a part-time basis. The Role

As the first point of contact for clients and visitors, you will play a key role in creating a welcoming and professional experience. You will also support the firms' new enquiries process, ensuring prospective clients receive a prompt, courteous efficient service.

Working closely with colleagues across the office, you will help ensure the smooth day-to-day running of reception while supporting the firm's client onboarding process.

Key Responsibilities

Reception

  • Welcoming clients, visitors and contractors in a professional and friednly manner
  • Maintain a tidy, welcoming and well-presented reception area
  • Answer, screen and transfer incoming telephone calls efficiently
  • Respond to general enquiries and direct clients to the appropriate department
  • Manage incoming and outgoing post and deliveries
  • Book meeting rooms and prepare them for client meetings where required
  • Provide refreshments for clients and visitors as appropriate
  • Carry out general administrative tasks to support the office

New Enquiries

  • Handle new client enquiries by telephone, email and in person
  • Obtain relevant information from prospective clients accurately and sensitively
  • Carry out initial conflict checks and client onboarding administration in line with firm procedures
  • Allocate enquiries accurately using the firm's case management system
  • Deliver a high standard of client care throughout the enquiry process
  • Follow up enquires where appropriate and maintain accurate records

General Responsibilities

  • Work Collaboratively with colleagues across the firm to provide excellent administrative support
  • Maintain confidentiality and comply with GDPR, SRA requirements and firm policies
  • Provide reception cover during periods of annual leave and other planned absences where available
  • Undertake any other reasonable administrative duties appropriate to the role
Person Specification

Essential

  • Previous experience in a receptionist, front-of-house or customer service role
  • Excellent communication and interpersonal skills
  • Professional, approachable and confident manner
  • Strong organisational skills with excellent attention to detail
  • Good IT skills, including Microsoft Office
  • Ability to prioritise workload and remain calm in a busy environment
  • A positive, flexible and reliable approach to work

Desirable

  • Previous experience working within a legal or professional services environemnt
  • Experience handling new client enquiries or customer onboarding
  • Experience using a case management system
