415 Group is seeking a detail-oriented and client-focused Executive Assistant & Client Support Specialist to provide direct support to the Key Management and assist clients with accessing digital platforms such as client portals and Safe Send Returns. This role is ideal for someone who is organized, tech-savvy, and has excellent communication skills to ensure smooth operations both internally and externally.
Key Responsibilities:
- Manage the Executive’s calendar, including scheduling meetings, appointments, returning calls and coordinating travel arrangements.
- Prepare correspondence, reports, and presentations as needed.
- Directly respond to clients on the Executive’s behalf.
- Assist with special projects and administrative tasks to improve efficiency.
- Handle confidential and sensitive information with discretion.
Client Support Responsibilities:
- Serve as the first point of contact for client inquiries regarding login access, Safe Send Returns, and other digital tools.
- Guide clients through troubleshooting steps for accessing documents and signing electronically.
- Assist in resetting passwords and navigating portal features.
- Document common client issues and work with internal teams to improve user guides and FAQs.
- Provide friendly and professional customer service over the phone and via email.
Qualifications & Skills:
- Experience:
4+ years in an administrative or client support role, preferably in a professional services firm. - Technical Skills:
Proficiency with Microsoft Office; ability to quickly learn firm software (Safe Send, client portals, etc.). - Communication:
Strong verbal and written communication skills, with a client-friendly approach. - Organizational Skills:
Ability to manage multiple priorities efficiently while maintaining attention to detail. - Problem-Solving:
Resourceful and patient when assisting clients with technical issues.
