We are seeking a highly organized and detail‑oriented Office Manager to oversee the daily operations of our construction and real estate office. This role requires a proactive individual with strong administrative skills, excellent communication abilities, and a knack for problem‑solving in a fast‑paced environment.
Please note this office is a start‑up office and will require the skills to set up an office from scratch.
Key Responsibilities- Administrative Management
- Coordinate and oversee daily office operations to ensure efficiency and productivity.
- Maintain office systems, including filing, record‑keeping, and data entry.
- Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
- Prepare and distribute company documents, reports, and contracts.
- Assist with budget tracking, expense reporting, and financial records.
- Process invoices, manage accounts payable/receivable, and coordinate with the accounting team.
- Monitor project budgets and ensure timely billing and payments.
- Team Support
- Provide administrative support to management and project teams.
- Schedule and organize meetings, appointments, and events.
- Act as the primary point of contact for vendors, clients, and subcontractors.
- Assist with onboarding and training of new employees.
- Office Operations
- Manage office supplies inventory and order as needed.
- Ensure office equipment is operational and coordinate maintenance or repairs.
- Implement and enforce office policies and procedures.
- Maintain a clean, organized, and safe office environment.
- Project Coordination
- Support real estate and construction projects by maintaining schedules, timelines, and documentation.
- Assist with permitting, licensing, and compliance requirements.
- Track project milestones and communicate updates to stakeholders.
- Proven experience as an Office Manager, preferably in construction or real estate.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management tools.
- Excellent organizational and multitasking skills.
- Strong verbal and written communication skills.
- Ability to manage and prioritize tasks in a fast‑paced environment.
- Basic knowledge of accounting and financial management principles.
- Familiarity with real estate and construction terminology is a plus.
- Full‑time, on‑site position with occasional travel to project sites if necessary.
