We are seeking a highly organized and detail‑oriented Office Manager to oversee the daily operations of our construction and real estate office. This role requires a proactive individual with strong administrative skills, excellent communication abilities, and a knack for problem‑solving in a fast‑paced environment.

Please note this office is a start‑up office and will require the skills to set up an office from scratch.

Key Responsibilities
  • Administrative Management
    • Coordinate and oversee daily office operations to ensure efficiency and productivity.
    • Maintain office systems, including filing, record‑keeping, and data entry.
    • Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
    • Prepare and distribute company documents, reports, and contracts.
  • Assist with budget tracking, expense reporting, and financial records.
  • Process invoices, manage accounts payable/receivable, and coordinate with the accounting team.
  • Monitor project budgets and ensure timely billing and payments.
  • Team Support
    • Provide administrative support to management and project teams.
    • Schedule and organize meetings, appointments, and events.
    • Act as the primary point of contact for vendors, clients, and subcontractors.
    • Assist with onboarding and training of new employees.
  • Office Operations
    • Manage office supplies inventory and order as needed.
    • Ensure office equipment is operational and coordinate maintenance or repairs.
    • Implement and enforce office policies and procedures.
    • Maintain a clean, organized, and safe office environment.
  • Project Coordination
    • Support real estate and construction projects by maintaining schedules, timelines, and documentation.
    • Assist with permitting, licensing, and compliance requirements.
    • Track project milestones and communicate updates to stakeholders.
Qualifications
  • Proven experience as an Office Manager, preferably in construction or real estate.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management tools.
  • Excellent organizational and multitasking skills.
  • Strong verbal and written communication skills.
  • Ability to manage and prioritize tasks in a fast‑paced environment.
  • Basic knowledge of accounting and financial management principles.
  • Familiarity with real estate and construction terminology is a plus.
Work Environment
  • Full‑time, on‑site position with occasional travel to project sites if necessary.
