Aboutthe Role
We are seeking a warm & professional receptionist who will serve as the welcoming face of Yoyo. Someone with exceptional communication skills who is reliable and calm under pressure. You'll bring the same care and polish you'd expect from a 5-star hotel to a modern tech office, where every interaction creates an opportunity to delight. You'll help shape the company's first and lasting impressions, embody Yoyo's excellence, and foster a welcoming environment where connections thrive.
- Be the warm, professional first point of contact for clients, visitors and staff - the face and tone-setter of Yoyo.
- Manage arrivals, inquiries, and day-to-day desk operations with polish and calm, even when things get busy.
- Keep boardrooms and meeting rooms crisp, stocked, and guest-ready at all times.
- Manage the switchboard, directing calls professionally and efficiently.
- Assist visitors and new starters with parking, and ensure reception is always covered, arranging a stand-in during your own out-of-office days.
- Stay composed and reassuring during disruptions or emergencies.
- Directly manage and coordinate our 2-person cleaning team, holding cleanliness and presentation to a consistently high standard befitting the building.
- Oversee the in-office cafe, ensuring it's always well-stocked, tidy, and welcoming.
- Liaise with the COO, building management, and security on repairs, maintenance, and general building upkeep.
- Ensure a comfortable, functional, and consistently high-standard workspace for all employees.
- Manage office supplies and stock - stationery, cleaning supplies, refreshments - including ordering and supplier relationship management.
- Manage courier bookings and collections, ensuring timeous delivery and dispatch.
- Build and maintain a strong working relationship with our travel agent to arrange flights, accommodation, and local travel for staff, ensuring smooth and efficient trips.
- Support the People & Culture team with the planning and delivery of the social calendar, including in-office and offsite events.
- Keep the birthday and work-anniversary calendars up to date, and coordinate related messages and Zuzo rewards for new starters, birthdays, and work anniversaries.
- Help foster a positive, welcoming, and collaborative environment for every Yoyo employee.
- A certificate or diploma in Office Administration is highly advantageous
- Strong computer literacy with proven ability in Microsoft Word, Excel, Outlook, and general office software
- Minimum of three years' experience in a reception, administrative, or front-of-house role within a professional environment
- Proven experience leading or directly supervising staff (e.g. cleaning staff) is essential
- Warm and genuine, with a natural instinct for making people feel welcome.
- Emotionally intelligent - proactively sees and responds to the needs of visitors, colleagues, and the team.
- Communicates clearly, professionally, and approachably, both in person and in writing.
- Stays calm and confident under pressure, taking initiative to problem-solve on the spot.
- A confident, fair leader who's comfortable managing and motivating a small team.
