We are looking for a professional, friendly, and highly organised Receptionist to join our team in Cape Town.
As the first point of contact for visitors, clients, and employees, you will play an important role in creating a welcoming and professional experience while ensuring the reception area and associated administrative activities run smoothly.
Key Responsibilities- Greet and welcome visitors, clients, and employees in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls promptly and professionally.
- Manage the reception area, ensuring it remains clean, organised, and presentable.
- Receive, sort, and distribute mail, deliveries, and correspondence.
- Schedule appointments and coordinate meeting room bookings.
- Manage and update calendars for meetings, conference rooms, and client appointments.
- Provide basic information and assistance to visitors, clients, and staff.
- Maintain accurate visitor logs and adhere to office security procedures.
- Maintain and update the parking registration list and liaise with parking administrators.
- Assist with catering arrangements for meetings and events as required.
- Schedule courier collections and deliveries with the designated courier company.
- Monitor office supplies and arrange orders when required.
- Perform general administrative duties, including filing, scanning, photocopying, and data entry.
- Provide ad hoc administrative support to other departments as required.
- Maintain a high level of confidentiality when handling company and employee information.
- Matric certificate or equivalent.
- Previous experience as a Receptionist, Front Desk Administrator, Office Administrator, or in a similar customer-facing role is preferred.
- Excellent verbal and written communication skills.
- Professional, friendly, and customer-focused approach.
- Strong organisational and time-management skills.
- Ability to multitask, prioritise effectively, and remain calm under pressure.
- Proficiency in Microsoft Office and general office equipment.
- Excellent attention to detail.
- Ability to handle confidential information with discretion.
- Reliable, proactive, and able to work effectively both independently and as part of a team.
This is a full-time, office-based position located at the front desk/reception area. The role requires professional engagement with visitors, clients, employees, and external service providers and may require working during standard business hours.
