A specialist Orthopaedic Surgery practice in Cape Town CBD is seeking to recruit an experienced Medical Receptionist. The role supports a busy surgical practice operating primarily from a private hospital environment with an additional weekly session in Tokai. The successful candidate will manage patient coordination, theatre bookings, and front desk administration while maintaining a professional patient experience.
Duties and Responsibilities- Answer calls professionally and ensure accurate message taking
- Communicate with patients via phone, email, or SMS regarding doctor feedback
- Manage appointment scheduling and diary coordination
- Prepare patient files for upcoming appointments
- Welcome patients and manage waiting time expectations
- Verify and update patient information and open new patient accounts
- Obtain referral letters and medical correspondence from external providers
- Assist with obtaining laboratory and radiology results
- Provide patients with documentation for procedures and hospital admissions
- Prepare theatre bookings and pre authorisations
- Arrange anaesthetists and surgical assistants
- Track surgical cases and procedure records
- Assist with medical reports and correspondence
- Maintain pharmacy accounts and stock records
Process payments and allocate receipts accurately - Liaise with hospital departments, medical bureaus, IT specialists, and suppliers
- Maintain supplier contracts and agreements
- Assist the doctor with general administrative duties.
- Matric / Grade 12
- Minimum 2 years experience in a similar medical receptionist role
- In rooms billing experience essential
- Theatre booking experience essential
- Computer literacy
- Medical practice software experience advantageous
- Strong interpersonal and communication skills
- Professional and well presented
- Ability to work under pressure
- Ability to work independently and within a team
- High attention to detail and organisation
- Ability to multitask and prioritise
- Reliable and dependable work ethic
- Patient focused approach
Monday to Friday, 08h00 - 17h00
Over time as needed for emergency situations

Additional RequirementThe position includes one weekly session in Tokai and four days in Cape Town CBD. Candidates must have reliable personal transport.
