Inventory Administrator (Permanent Role)

Oxford University Press (OUP) has established an integrated global Manufacturing, Inventory, and Procurement Planning function, bringing together key supply chain activities to drive efficiency, collaboration, and operational excellence.

About the Role

Working as part of the Inventory and Manufacturing team, this role is responsible for the administration of import titles across Africa. You will be responsible for raising purchase requisitions to match the demand plan for import titles and communicate with the manufacturing team to execute the purchase orders.

You will be responsible for the administration of the purchase orders and ensuring any issues relating to the titles flagged in the system are resolved within the set time frames and purchase orders accurately reflect the required titles.

This is a crucial role in ensuring the demand plan for import titles is executed and customer needs are satisfied.

The Inventory Administrator will report to the Inventory and Manufacturing Manager. This post is based in Cape Town, at the Goodwood office.

In this role, you will:
Data Collection and Analysis:
  • Sales history per market segment and customer segment analysed
  • Accurate reorder points in SAP
  • Monitor back‑order reports weekly
  • Updated title status in SAP
  • Align demand plan with supply chain requirements
Import purchase orders
  • Ensure accurate and timely execution of the demand plan
  • All PO’s placed and released timeously
  • Weekly OTO orders placed
  • Resolve all issues related to failed lines in import purchase orders
  • Estimated time of arrival of import products dates monitored, updated on SAP
Accurate invoicing on import purchase orders
  • Ensure accuracy of import invoices and pricing.
  • Corrected invoices, updated prices in SAP
  • Price variances limited to exchange rate variances
Pack make up and break up process coordinated
  • Managed stock packs
  • Back orders cleared for packs and single titles
Import title loading
  • New titles correctly loaded onto SAP
  • Ensure all relevant title data is added to system
About You:
  • Qualification in Supply Chain Management/Data or Statistics or Business Administration
  • 2-3 years’ experience in publishing environment
  • ERP Systems:Proficiency in SAP or similar Enterprise Resource Planning systems.
  • Inventory Management:Understanding of inventory control processes and best practices.
  • Data Analysis:Ability to analyze data to make informed decisions and recommendations.
  • Import/Export Regulations:Knowledge of import/export procedures and regulations.
  • Microsoft Office Suite:Proficiency in Excel, Word, and other Microsoft Office applications.
  • Communication:Strong verbal and written communication skills.
  • Problem‑Solving:Ability to identify problems and develop effective solutions.
  • Project Management Certification
  • Inventory related role work experience
