Court Clerk / Operational Support Officer
Location: Cardiff Tibunal Service (Office Based)
Assignment Type: Temporary - 6 Months (with the possibility of extension)
Hours: Full Time, 37 hours per week, Monday to Friday
Pay Rate: £12.86 per hour for the first 12 weeks, increasing to £13.25 per hour thereafter
Clearance Required: Basic DBS Check
We are recruiting for a Court Clerk / Operational Support Officer to join His Majesty's Courts and Tribunals Service (HMCTS) in Cardiff. This is an excellent opportunity to work within the Ministry of Justice, supporting the delivery of an efficient and professional court service.
This is a varied administrative role requiring excellent organisational skills, attention to detail, and the ability to communicate confidently with members of the public, legal professionals, judiciary, and internal stakeholders. Successful candidates will play a key role in ensuring the smooth running of court operations while maintaining the highest standards of customer service and confidentiality.
This is a fully office-based position.
Key ResponsibilitiesAs a Court Clerk / Operational Support Officer, you will:
- Undertake all administrative tasks required to prepare for, facilitate, and conclude court hearings efficiently.
- Provide support and guidance to court users and stakeholders through face-to-face interaction, telephone, and written correspondence, ensuring clear communication, including for those with complex needs.
- Use HMCTS service scripts and knowledge articles to direct users to the appropriate services and information.
- Support users through complaints procedures, providing immediate assistance where possible to prevent escalation and accurately updating case management systems.
- Identify risks relating to HMCTS buildings and facilities, reporting concerns promptly to the Senior Person on Site (SPoS).
- Process work in accordance with standard operating procedures while meeting service standards and performance targets.
- Maintain and manage case files accurately, ensuring secure handling of sensitive information and compliance with data protection and retention policies.
- Carry out jury service administration, including jury selection, deferrals, attendance monitoring, and expense processing.
- Assist with court listing and scheduling to maximise judicial time and respond effectively to urgent operational requirements.
- Provide administrative support to the judiciary, including diary management and general judicial administration.
- Support enforcement activities, including financial assessments and the preparation of basic reports.
- Contribute to health and safety procedures by completing facility checks, logging issues, and supporting workplace safety governance.
The successful candidate will demonstrate:
- Excellent organisational skills with strong attention to detail.
- Effective verbal and written communication skills, with the confidence to engage professionally with a wide range of people.
- The ability to follow established procedures accurately while handling confidential and sensitive information appropriately.
- A proactive approach to problem-solving and identifying potential risks.
- Good IT skills and the ability to work across multiple systems.
- Strong administrative and customer service skills.
- The ability to work effectively both independently and as part of a team.
- The flexibility to manage a varied workload in a fast‑paced environment.
- Previous experience in an administrative or customer service role.
- Experience working within a public sector or regulated environment.
- Knowledge or understanding of court or legal processes would be advantageous but is not essential, as full training will be provided.
