Job Description
At Howells, we combine a fresh and forward-thinking approach with a client-focused, local feel to deliver a range of award-winning, quality services. This role will provide valuable support to the residential property team, to ensure a smooth onboarding process for new clients.
This role will also be responsible for providing comprehensive quotes to prospective clients, guiding them through the onboarding process when required, to cover absence.
What You’ll Be Responsible For- Open files both electronically and physically in an efficient way, in accordance with internal processes and procedures.
- Ensure seamless onboarding of clients into the conveyancing process, maintaining high standards of client service at all times.
- Contact clients at the outset of an instruction to confirm / verify their contact details.
- Ensure all client information is uploaded accurately on the CMS.
- Invite clients to use our third-party providers’ digital AML platform.
- Discuss fees with clients and support them with their initial queries.
- Liaise with existing and prospective clients, answering and resolving their queries where relevant.
- Provide an excellent level of customer service to our clients.
- Respond to enquiries or communications from third parties such as estate agents and solicitors, as part of the new transactions process.
- Interact with other colleagues, providing clarification on any queries or issues.
- Taking inbound calls from potential clients who are seeking conveyancing quotes.
- Assisting clients in making informed decisions by providing accurate conveyancing quotes and service information.
- Actioning and responding to client email enquiries.
- Make outbound calls to clients with outstanding quotes and follow up on potential ‘warm’ leads.
- Support conversion of initial interest to instruction.
- Consistently upsell and cross-sell Howells legal services, particularly to those clients who have instructed us to sell or purchase their property.
- Occasionally cover the office reception desk during lunch breaks or staff absences.
- Support with any other reasonable administrative tasks, as instructed by the team leader or Director.
- Maintain a high level of professionalism and phone / email etiquette when interacting with clients.
- Experience in customer/client sales conversion and objection handling.
- Excellent people skills with a strong customer-service focus.
- Proficient in Microsoft Office applications with strong typing skills.
- Previous experience or knowledge in residential property or a similar field is desirable but not essential.
- Excellent verbal and written communication skills.
- Calm, resilient, and effective under pressure.
- Able to build strong rapport and long‑term relationships with clients over the telephone.
- Proactive in contacting clients via email and telephone.
- Highly self-motivated with a strong work ethic.
- Exceptional attention to detail and accuracy.
- Strong team player with a collaborative approach.
