Financial Services (IFA) Administrator
Location:
Cardiff Gate CF23 8AA
Salary:
Depending on experience and qualifications
- Experience:
Minimum 1 year in financial advice administration, understanding of back‑office systems, ideally IRESS XPLAN. - Qualifications:
Ideally financial services qualifications and minimum GCSE grades A‑C/1‑3 in Mathematics and English. - Communication skills:
Must communicate professionally with clients and providers. - Hours:
Full time permanent role, 37½ hours per week, based at Cardiff Gate office. Flexible working hours Monday‑Friday with core time system; part‑time role of 30 hours per week also possible.
- Maintain and update back‑office client records with precision.
- Handle sending and receiving information requests efficiently.
- Package and submit life, investment, and pension applications to providers.
- Accurately record new business and track applications through to issue.
- Manage the annual review diary to ensure timely follow‑ups.
- Assist with quarterly investment rebalances to keep clients’ portfolios in top shape.
- Company pension scheme.

Salary:

- ACCA or ACA qualified.
- Minimum four years of practice experience.
- Strong technical knowledge of audit standards and financial reporting.
- Existing manager or ready for promotion.
- Excellent communication, leadership and client management skills.
- Highly organised, self‑motivated and able to manage multiple projects and meet deadlines.
- Team player who is not afraid to put forward ideas.
- Experience overseeing teams, reviewing technical work and developing junior staff.
- Plan, lead, and review audit and accounts assignments from planning through to completion.
- Ensure audits comply with applicable standards.
- Manage audit teams, providing training and guidance.
- Identify risk areas and communicate audit findings and recommendations to clients.
- Oversee preparation of statutory financial statements in accordance with relevant accounting standards.
- Ensure all accounts-related assignments are completed within budget and deadlines.
- Support clients with complex accounting issues and regulatory compliance.
- Act as a key point of contact for clients, managing expectations and ensuring high‑quality service delivery.
- Build long‑term relationships with clients by understanding their business needs and providing proactive advice.
- Supervise and mentor junior staff, supporting their development and review of their work.
- Ensure compliance with all relevant tax and financial regulations.
- Prepare forecasts and assist directors with one‑off work.
