Responsibilities

  • Greet patients at reception in a helpful, polite, and efficient manner.
  • Check all demographics details for patients on arrival, updating as required and safeguarding data protection and patient confidentiality.
  • Register patient's attendance on EPR in real-time.
  • Deal with enquiries in a sympathetic and professional manner, using tact when communicating with anxious patients and relatives.
  • Book follow‑up appointments accurately, ensuring correct referral to treatment (RTT) status in accordance with Trust guidelines.
  • Ensure special requests for additional support (e.g., interpreters, sign language services) are handled promptly.
  • Maintain accurate reception clinic lists; record late bookings, cancellations, and DNA’s.
  • Check patients in and out of clinic, making future appointments on the day where possible, and capture outpatient procedure activity using outcome forms (HIM chart coding) in EPR.
  • Ensure all patients' notes are present and prepared the day before the clinic, and highlight any missing notes to the relevant line manager.
  • Arrange return transport for patients when requested by the senior nurse or Arriva and Oxford Ambulance.
  • Keep relevant reception area tidy and in good repair, reporting defects to the line manager.
  • Prioritise workload and work with minimal supervision.
  • Undergo further training as required; disclose criminal convictions for the Rehabilitation of Offenders Act 1974 (Exceptions) Order and Disclosure and Barring Service checks.
Qualifications
  • Good basic educational qualifications – 5 or more GCSEs (including English and Maths) grade C or above, or equivalent.
  • Computer literacy; EPR trained (training will be provided).
  • Prior experience in the NHS or related environment is desirable but not essential.
  • Excellent communication, customer service, and telephone manner.
  • Strong organisational skills, ability to work well under pressure and as a key team player.
  • Ability to prioritise workload and work independently or as part of a team.
  • Methodical, conscientious, and reliable.
Desirable Criteria
  • Previous NHS experience.
  • Prior experience in a similar role.
  • Evidence of team working and good interpersonal skills.
  • Organised, logical, and flexible approach.
  • Excellent telephone manner.
  • Experience interacting with a wide range of people.
Working Hours

Full time, 37.5 hours per week. Shifts Monday to Friday 8 am‑5 pm and some Saturdays 8 am‑5 pm. Rotas will be published in advance but staff are expected to cover all shifts over 7 days.
