Responsibilities
- Coordinate all administrative tasks and telephone duties to the Emergency and Assessment Units at the University Hospital of Wales, Medical Emergency Assessment Unit at Llandough Hospital, and Barry Minor Injuries Unit.
- Reception of patients, relatives and visitors onto the Emergency Units in line with Emergency Unit policy.
- Maintain confidentiality at all times.
- Provide reception service to Emergency and Assessment Units, Medical SDEC and Minor Injury Units: welcoming patients, relatives, visitors, assisting them when appropriate, explaining emergency unit procedures, and explaining the department’s triage system when required.
- Ensure the reception area is presentable and accurate visitor attendance records are filed.
- Receive and input patient details into a computerized medical records system; register patients with medical records if appropriate; maintain, sort and file patient documentation and create case folders; print labels for individual patients.
- Ensure inpatient records are available for admitted patients up to withdrawal from consultant and secretary offices and other outlying areas; track and deliver all notes to wards; request notes from other hospitals when necessary.
- Liaise with Directorate Management and Assessment Unit to inform staff of impending arrival of expected inpatient admissions; register these patients onto the Assessment Unit module on PMS; discharge and admit; communicate ambulance arrivals to Assessment Unit as required.
- Update information related to admission, transfer and discharge of patients between areas using a computerized patient management system.
- Ability to speak Welsh desirable;
English and/or Welsh speakers welcome. - Knowledge acquired through in‑house training; DBS check completed for contact with children.
