About Us

At Gilfresh Produce Limited, our vision is to be the leader in growing and supplying fresh, quality produce using green energy. We are on a mission to source local, quality produce for the whole of Ireland. We pride ourselves on our “FRESH” values: we recognize the privilege of working in a FAMILY environment, we RESPECT each other, we strive for EXCELLENCE, we consider SUSTAINABILITY in all our activities, and we prioritize the HEALTH and wellbeing of our team.

The Role

The Transport Coordinator plays a crucial role in managing our daily transport operations. Working actively between the transport office and the operational floor, you will schedule vehicle routes, coordinate driver assignments, and ensure full legal compliance with transport regulations. This position requires strong organization, proactive communication, and practical problem-solving skills to ensure timely deliveries and seamless collaboration across all site departments.

Key Responsibilities

  • Operational Management: Organise daily vehicle movements and delivery schedules. Allocate jobs, vehicles, and efficient routes to drivers to reduce travel time and fuel costs. Track deliveries throughout the day, monitor driver working hours for legal compliance, and dynamically arrange replacement vehicles or drivers to prevent dispatch delays.
  • Teamwork & Communication: Maintain an active presence on the packhouse and warehouse floor to resolve operational bottlenecks and verify order readiness. Coordinate closely with warehouse, procurement, sales, and production teams. Respond directly to customer enquiries, proactively inform them of delivery changes, and communicate effectively with drivers, company car users, and external maintenance providers.
  • Quality, Fleet & Regulatory Compliance: Maintain an up-to-date register of MOT expiry dates, road tax, and service schedules for all commercial and company vehicles. Arrange MOT tests, servicing, and repairs to minimize downtime. Handle vehicle defects, assist with company car issues (faults, breakdowns, maintenance), and ensure strict compliance with statutory transport regulations.
  • Continuous Improvement & Reporting: Manage returnable transit packaging (trays and pallets) by checking stock levels, ordering from multiple locations to ensure sufficient availability, and coordinating the necessary transport and storage. Maintain accurate movement records to investigate missing assets and avoid unnecessary hire charges. Keep transport management systems (TMS) and spreadsheets fully updated. Monitor delivery performance, vehicle utilization, and driver productivity while identifying opportunities to reduce empty vehicle movements.
  • Health & Safety: Adhere strictly to Health & Safety and Transport Safety Procedures, ensuring correct PPE is worn in operational areas. Ensure mandatory pre-use vehicle safety walk around checks are completed by drivers, report any defects immediately, and maintain a clean transport office under the company’s ‘Clean As You Go’ policy.
What We Are Looking For
  • Strong organizational and time-management skills with the ability to work under pressure.
  • Excellent communication, customer service, and teamwork abilities.
  • Practical problem-solving and decision-making skills.
  • High attention to detail and accurate record-keeping.
  • Knowledge of route planning and statutory transport regulations.
  • Solid IT skills, including email, GPS tracking, and Google Sheets.
  • Experience in Transport Admin.
  • Experience with Trays and Pallets Movement.

Closing date for receipt of completed applications is Sunday 8th November 2026.
