Accounts Receivable Specialist

Description We are looking for an Accounts Receivable Specialist to join our team in Carencro, Louisiana. In this role, you will manage invoicing, payment application, account follow-up, and reconciliation activities that support healthy cash flow and accurate customer accounts. You will partner with operations, project teams, finance, and customers to address billing questions, resolve outstanding items, and keep receivables current.

Responsibilities:

- Create customer invoices using contract terms, project records, purchase orders, time entries, pricing details, and other required backup.

- Examine billing support carefully to confirm completeness and accuracy before submitting invoices to customers.

- Coordinate with project and operations teams to gather missing approvals, tickets, timesheets, purchase orders, and other documents needed for billing.

- Track aged receivables and carry out collection follow-up in line with established company practices.

- Communicate with customers regarding invoice progress, expected payment dates, overdue balances, supporting documents, and billing concerns.

- Record collection efforts, customer responses, disputed items, and next steps, and elevate higher-risk aging issues to finance leadership when needed.

- Investigate and resolve rejected invoices, payment shortages, credits, deductions, unapplied cash, and other account discrepancies with internal stakeholders.

- Post customer payments promptly and accurately while researching unidentified receipts, over payments, and mismatched remittances.

- Prepare receivables reports, account reconciliations, aging summaries, and billing schedules, and assist with month-end, year-end, and audit support requests. Requirements

- Minimum of 3 years of experience in accounts receivable, billing, collections, accounting support, or a related finance function.

- High school diploma or equivalent required; an associate degree in accounting, finance, business, or a related area is preferred.

- Working knowledge of commercial collections, cash application, invoicing, and customer account reconciliation.

- Ability to review financial and billing documents for accuracy, completeness, and compliance with internal procedures.

- Strong communication and customer service skills with the ability to handle payment follow-up and billing issues professionally.

- Experience supporting project-based, construction, industrial services, or customer-portal billing environments is preferred.

- Proficiency in organizing records, managing multiple priorities, and maintaining attention to detail in a deadline-driven setting.
