Office Administrator/ Coordinator
We are seeking a highly motivated and organised Retail, Commercial and Property Administrator to work alongside our Head of Retail Operations at our Rosehill office in Carlisle. This exciting opportunity is ideal for someone passionate about providing comprehensive administrative support to the Head of Retail Operations and ensuring the efficient co‑ordination of all aspects of retail, commercial and property administrative tasks.
The ideal candidate will be a skilled multi‑tasker with a keen eye for detail and a passion for supporting the smooth operation of our retail and commercial activities.

- Handling and protection of information of a confidential nature.
- Provide administrative support to the Head of Retail Operations.
- Assist in coordinating and managing business projects as assigned by the Head of Retail Operations.
- Assist in the management and maintenance of the property portfolio, including retail sites and warehousing units, lease renewals and rent reviews.
- Assist with allocated business contracts for suppliers and service providers, including those relating to FLT's and site security.
- In collaboration with the Health, Safety and Environmental team, ensure continued compliance with legislation, codes of practice and best practice across all locations.
- Assist in the management of property upgrades, extensions, refurbishments and maintenance projects.
- Support the end‑to‑end process for acquisitions and portfolio reviews, including due diligence, legal negotiations and transition planning.
- Assist with the collection of data to inform and guide decision making. Maintain and update commercial records and databases, ensuring accuracy and confidentiality.
- Draft and prepare emails, reports, and other documents on behalf of the Head of Retail Operations.
- Assist in creating and maintaining a library of preferred suppliers for the main services, including all compliance documentation and due diligence requirements.
- To adhere to Company and Group policies and procedures, including but not limited to those relating to Safety, Health and Environmental.
- To ensure all relevant legislation and approved codes of practice, are adhered to in respect of ongoing compliance, including but not limited to UFAS, FIAS, & NOPS assurance schemes.

Experience And Qualities Required
- Proven experience in an administrative role.
- Project Management skills.
- Experience of D365 systems would be advantageous.
- Strong decision‑making and problem‑solving skills.
- Tenacity to see projects through to conclusion.
- Able to build strong and effective relationships with colleagues.
- Commitment to confidentiality and a high degree of integrity.
- Excellent MS Office skills.
- Able to travel to sites across the UK as and when required.
- Ability to work in a fast‑paced environment.
