Primary

Purpose:

Facilitate the efficient operation of the school office and provide clerical services to the principal.

Qualifications

Education/Certification/Licensure
High school diploma or GED

Special Knowledge/Skills
Proficient skills in keyboarding, word processing, and file maintenance
Effective organization, communication and interpersonal skills
Basic math skills and bookkeeping skills
Basic knowledge in Microsoft Systems
Ability to follow written instructions
Ability to operate multi-line phone system

Special Knowledge and Skills

  • Proficiency in counseling children, adolescents, and families
  • Strong knowledge and application of solution-focused brief counseling strategies
  • Training/experience with activity-based counseling (e.g., play therapy, sand tray)
  • Knowledge of local mental health and community resources
  • Strong organizational, communication, and interpersonal skills
  • Fluency in Spanish preferred

Preferred Experience
Three years of successful secretarial or clerical experience preferably in a related field

Major Responsibilities and Duties

Records and Reports

  • Demonstrate acceptable work habits including teamwork, initiative and dependability.
  • Report to work on time each day
  • Organize and manage the routine work activities in the school office.
  • Serve as receptionist for the school office
  • Responsible for the input of TEAMS/PEIMS data as directed.
  • Enroll/withdraw students as necessary.
  • Perform routine bookkeeping tasks, including simple arithmetic operations of the office.
  • Maintain and monitor budget process.
  • Follow procedures to handle petty cash disbursements.
  • Order and maintain supplies.
  • Make appointments and maintain office calendar.
  • Compile, prepare, and submit various reports for the office.
  • Input computer data for the school.

Reception, Phones and Correspondence

  • Receive, sort, and distribute mail and other documents to staff members.
  • Assign duties to the clerical aide and health aide as directed by the principal.
  • Receive incoming calls, take reliable messages, and route all to appropriate staff.
  • Prepare correspondence, forms, reports, etc. for the principal
  • Compose letters and memos as directed.

Other

  • Maintain confidentiality of all information
  • Participate in staff development training programs when appropriate.
  • Keep informed and comply with all state and district policies and regulations concerning primary job functions.
  • Responsible for the input of TEAMS/PEIMS data as directed.
  • Perform any other duties and/or tasks that may be assigned on an as needed basis.
