Job Overview

Admin Manager/Service Coordinator – full‑time, Band 5, Newcastle Hospitals NHS Foundation Trust, Newcastle upon Tyne.

Key Responsibilities
  • Day‑to‑day management of admin staff within allocated areas, ensuring training to a high standard.
  • Human resources tasks: recruitment, staff appraisals, sickness absence reviews.
  • Creation and maintenance of Standard Operating Procedures for all defined tasks.
  • Attendance at meetings and training appropriate to the role, communicating feedback to the wider team.
  • Collaborate with other Admin Managers/Clinic Coordinators to streamline service operations.
  • Provide admin support to the Clinical Director and line‑manage the ophthalmology administration team.
  • Compile consultant and junior doctor timetables, arrange consultant on‑call rotas.
  • Ensure eye casualty is fully staffed, covering doctors’ sick leave and leave of absence for theatre sessions.
Person Specification
  • Strong leadership and supervisory experience within NHS admin teams.
  • Excellent organisational, time‑management and communication skills.
  • High standard of word processing and attention to detail.
  • Ability to prioritise workload effectively.
Qualifications & Education
  • Diploma in Management or equivalent experience in a senior NHS admin role.
  • Good standard of English language at GCSE level 4 or above.
  • RSA3 secretarial qualification or equivalent.
  • ECDL certification.
Essential Knowledge & Experience
  • Shorthand proficiency.
  • In‑depth knowledge of admin procedures and medical terminology.
  • Understanding of NHS recent reforms.
  • Networking with other organisations, both inside and outside the NHS.
Required Skills
  • Strong communication, organisational and time‑management skills.
  • Negotiation and problem‑solving abilities.
  • High standard of word processing and accurate presentation of information.
