Overview

An exciting substantive Band 3 Admin Support Officer position has become available on the multi‑disciplinary Harm Free Care (HFC) team. The post offers an opportunity to develop secretarial, administrative, IT and data‑collection skills while supporting a range of HFC services. We seek a highly motivated, enthusiastic individual with strong organisational and communication skills and a keen eye for detail.

Main duties of the job
  • Provide secretarial and administrative support across the HFC MDT teams, including Tissue Viability, Falls services, Clinical Standards & Quality Improvement Lead and the Information & Data Manager for Patient Services.
  • Organise team diaries, take and transcribe minutes of meetings and create and maintain efficient office filing and documentation systems.
  • Maintain databases and spreadsheets.
  • Assist with organising HFC events and liaise with HFC Leads across the Trust.
  • Respond to enquiries and ensure effective communication of messages both verbally and electronically.
  • Provide support when planning meetings and teaching sessions.

Job Description And Main Responsibilities
  • Provide secretarial and administrative support across the HFC multidisciplinary team.
  • Organise staff diaries, arrange meetings, and transcribe minutes for groups such as the Falls and Pressure Ulcer Task Group.
  • Maintain databases, spreadsheets and the Clinical Standards inbox.
  • Assist with organising Patient Safety Investigation Response Framework (PSIRF) meetings and other HFC events.
  • Order and maintain stationery supplies.
  • Arrange travel when required.
Person specification Qualifications & Education
  • NVQ Level 3 or equivalent qualification/experience.
  • GSCE grade 4 or above in English and Mathematics or equivalent qualification/experience.
Knowledge & Experience
  • IT literate with knowledge of Microsoft Office.
Desirable criteria
  • Experience working with databases/spreadsheets.
Skills & Abilities
  • Good administration skills.
  • Good organisational skills, including diary management and event scheduling.
  • Good communication skills.
