Scheduling Officer

Freeman Hospital – Newcastle Hospitals NHS Foundation Trust, Band 3, Northern Centre for Cancer Care – North Cumbria, Carlisle.

Job Overview

We are seeking an enthusiastic person with great communication skills and a keen interest in delivering first‑class cancer care administration to join our scheduling team in radiotherapy. You will work closely with the scheduling team, managers and clinical staff on both sites (Freeman and Carlisle) to ensure patient referrals are processed accurately and appointments are scheduled according to our structured care paths and protocols in line with cancer target dates.

The radiotherapy service receives approximately 150 referrals per week and our schedulers are a crucial part of the team in delivering timely radiotherapy to patients across the North East and North Cumbria.

Main Duties
  • Possess excellent knowledge of Microsoft Office, including Word and Excel, and an ability to understand complex cancer referral pathways to schedule radiotherapy appointments and input tasks into our specialised patient management systems.
  • Act as the link between the patients, wards, consultants, planning, chemotherapy and treatment machines, ensuring treatment schedules meet cancer targets.
  • Maintain a professional and courteous telephone manner when making calls to patients to inform them of appointments and support queries.
  • Manage workload flexibly, ensuring all daily tasks, including urgent referrals, are achieved.
  • Maintain awareness of service delivery developments and contribute to implementing change within the service.
  • Participate in any aspect of the administration service within radiotherapy as required.
  • Contribute to the delivery of a consistently high standard of patient care as part of the multidisciplinary team.
Responsibilities
  • Receive referrals and schedule patients for in‑patient and out‑patient radiotherapy.
  • Coordinate the patient pathway, linking oncology wards, consultants, planning department, chemotherapy outpatients, treatment machines and medical records to ensure cancer targets are met.
  • Assist in meeting waiting‑time targets using analytical judgement and influencing skills within a multidisciplinary environment.
  • Allocate appointment slots for each stage of the treatment process, liaising with relevant staff as necessary.
  • Maintain awareness of service delivery developments and contribute to implementing change.
  • Ensure accurate case notes, x‑rays and results are available for commencement of radiotherapy treatment.
  • Maintain case notes following departmental guidelines and legislation (e.g., Caldicott).
Qualifications & Education

Essential:

  • GCSE level, with Grade 4 or above in English or equivalent experience.
  • NVQ Level 3 or equivalent.
  • ECDL, Microsoft Office Specialist or equivalent experience.

Desirable:

  • Minimum of five GCSEs matter 4 or above including Maths and English.
Knowledge & Experience
  • Familiarity with Hospital Information Management Systems such as PAS and knowledge of medical terminology.
  • Knowledge of NHS Waiting Times Directives and Confidentiality.
  • Significant clerical experience in an NHS/healthcare environment.
  • Proficiency in Microsoft Office packages (Excel, Word, etc.).
Skills & Abilities
  • Excellent communication and interpersonal skills across a multidisciplinary team.
  • Excellent organisational and time‑management skills with the ability to prioritise tasks.
  • High level of accuracy, presentation of information and attention to detail.
