This is an apprenticeship position designed to provide practical workplace experience alongside a recognised qualification. The Apprentice Private Client Administrator will provide administrative support to the Private Client Department whilst developing the knowledge, skills and behaviours required to build a career within financial services.

The successful candidate will receive training and mentoring whilst learning about pensions, investments, protection, wills, trusts and other private client services, with opportunities to progress within the business.

Primary Responsibilities
  • Provide administrative support to the Private Client Advisers and Paraplanners.
  • Learn to promote the company’s services professionally and in accordance with FCA requirements.
  • Assist with preparing documentation for client meetings.
  • Help process new business applications and maintain accurate client records.
  • Support the team with client communications by telephone, email and post.
  • Learn to deal with client enquiries in a professional and courteous manner.
  • Maintain confidentiality of client information at all times.
  • Complete apprenticeship coursework and attend all required training sessions.
Key Tasks

The apprentice will receive training to enable them to:

  • Develop an understanding of pensions, investments, protection, wills and trusts.
  • Process Letters of Authority and obtain information from product providers.
  • Assist with obtaining valuations, illustrations and quotations.
  • Prepare annual review packs for clients.
  • Update and maintain the back-office CRM system accurately.
  • Assist with business processing and monitoring outstanding cases.
  • Liaise with product providers, solicitors and other third parties where appropriate.
  • Assist with preparing documentation for Financial Advisers and Paraplanners.
  • Learn how financial reports and suitability reports are produced.
  • Input Will and Trust cases onto company systems.
  • Ensure files and records remain accurate and compliant.
  • Support the wider administration team with day-to-day tasks.
  • Attend client meetings with advisers where appropriate as part of their development.
  • Develop an understanding of FCA regulations and the importance of treating customers fairly.
  • Complete all apprenticeship learning and work towards achieving the relevant qualification.

No previous financial services experience is required as full training will be provided.

The successful candidate should demonstrate:

  • Good communication skills, both written and verbal.

  • Good organisational skills.
  • Basic IT skills, including Microsoft Outlook and Word.
  • Ability to work as part of a team.
  • Professional and positive attitude.
  • Good time management.
  • Reliable and enthusiastic approach to work.
  • GCSEs (or equivalent) including English and Maths.
  • Basic knowledge of Microsoft Excel.
  • An interest in financial services or professional services.
Training and Development

The successful apprentice will:

  • Complete a recognised apprenticeship qualification.
  • Receive ongoing mentoring and supervision.
  • Gain practical experience across the Private Client Department.
  • Develop an understanding of financial services products and processes.
  • Be encouraged to undertake further professional qualifications where appropriate.
  • Have regular reviews to support both workplace and apprenticeship progress.
General Responsibilities
  • Demonstrate professionalism and integrity at all times.
  • Maintain confidentiality in accordance with company policies and GDPR.
  • Follow company procedures and FCA regulatory requirements.
  • Attend mandatory training sessions.
  • Participate in performance reviews and apprenticeship progress meetings.
  • Contribute positively to the development of the department.
  • Undertake any other reasonable duties appropriate to the role.

On successful completion of the apprenticeship, there may be opportunities to progress into a permanent Private Client Administrator role, with future development towards becoming a Senior Administrator
, Paraplanner
, or Private Client Adviser
, depending on performance, qualifications and business needs.
