Freelance In-Person Event Specialist - Cedar Falls, IA,

Overview

Visit.org is looking for an experienced, responsible, and driven Freelance Event Specialist to help manage the logistics of an upcoming in-person event in Cedar Falls, IA. The right candidate will be based in Cedar Falls, IA, United States, have corporate event experience, an entrepreneurial spirit, passion for our mission, and the energy and discipline to contribute in a start-up tech environment.

• Coordinate all event details, ship event materials, and arrange staffing for each event. Be the day-of hands-on on-site coordinator for fun, engaging, team-building, social impact activities, experiences, and events that support a great cause.
• Event Preparation: join virtual planning meetings ahead of each event with corporate partner, nonprofit partner, Visit.org event host, and Visit.org event coordinators.
• Own in-person events on-site: set up, align with the on-site team, tear down, clean areas, problem-solve, and ensure high-quality customer experience.
• Represent Visit.org as a leader and problem solver at events.
• Align roles and responsibilities with on-site teams including the event host, nonprofit organization, venue, staff, and corporate partner.
• Manage check-in process for in-person events and provide a warm, friendly welcome to guests.
• Address issues such as missing supplies, late staff, and technology challenges; escalate to the Events Team when necessary.
• Send updates, photos, and videos to the Events Team throughout the event.
• Break down after the event and assist with cleaning, repackaging, and shipping materials back to the distribution center.
• Pack supplies and add shipping labels; responsibilities may include loading boxes.

• Fluency in English and strong communication skills.
• Based in Cedar Falls, IA, United States.
• Schedule flexibility with availability to work on a contract per-event basis, as needed.
• Experience in complex, large-scale events and smaller executive-level intimate events.
• Proven experience executing events at a high level with focus on content and customer experience.
• Resourcefulness, grace under pressure, and solutions-minded in ambiguous situations.
• Quick thinker with ability to problem-solve on the fly and implement back-up plans.
• Self-starter, organized and detail-oriented; enjoys building relationships with customers and delivering strong customer service.
• Experience with group facilitation and managing group dynamics.
• Ability to work flexible hours, including nights and weekends, as needed.
• Willingness to travel to various areas of the local region.
• Strong interpersonal and customer service skills, especially in fast-paced settings.
• Able to wear many hats and take on varied tasks and projects.
• Comfort being present and interacting with large crowds.
• Physical Demands: able to lift, slide, and carry up to 30 lbs; able to stand for extended periods.

This is an on-location, in-person, per-event contract role in Cedar Falls, IA, United States. This role is open only to candidates already based in Cedar Falls, IA. No relocation packages are offered at this time.
