The City of Cedar Park is seeking qualified applicants for the position of Executive Assistant
. The Executive Assistant provides high-level administrative and strategic support to the City Manager, Assistant City Managers, and, as directed, City Council members, ensuring seamless efficient daily operations of the City Manager’s Office (CMO). This position requires exceptional professionalism, political and organizational awareness, and the ability to navigate sensitive interactions with discretion and tact. The Executive Assistant bridges communication between CMO, elected officials, staff, and the community while maintaining boundaries and protocols essential to effective governance.

Job Duties & Responsibilities
- Provide executive-level administrative support to the City Manager’s Office and as directed to the Mayor, City Council, and department leaders and routinely demonstrate judgement, discretion, and diplomacy in all communication interactions.
- Manage complex and dynamic calendars for multiple executives, including scheduling, event coordination, agenda preparation, workforce meetings, and prioritization of commitments.
- Serve as a trusted and reliable point of contact for internal staff, City Council, community members, and external stakeholders demonstrating professionalism, tact, and political and organizational awareness across all modes of communication.
- Prepare and handle correspondence, reports, and public inquiries on behalf of the City Manager’s Office ensuring accuracy, tone, and format reflect the City’s professional standards through the appropriate communication channels (email, written, phone calls, or in‑person) based on context.
- Coordinate and manage all logistics, materials, and follow‑up related to CMO and City Council events, meetings, workshops, retreats, workforce events, conferences, public hearings, and special ceremonies.
- Assist the City Manager’s Office in scheduling requests or logistics for the Mayor, elected officials, or department leaders in accordance with established procedures.
- Plan and oversee travel arrangements, ensuring comprehensive travel itineraries, reservations, transportation, and detailed expense documentation in compliance with City policies.
- Maintain security and confidentiality of all print and digital filing systems.
- Process purchase orders, invoices, and expense reports; will assist with budget preparation and tracking.
- Monitor and replenish office supplies, equipment, and special orders.
- Research, compile, and analyze data to support decision‑making.
- Prepare, review, and revise documents, reports, and presentations for meetings and external communication ensuring accuracy and consistency.
- Assist with special projects and actively participate in committees as needed.
- Track and monitor deadlines for various projects and initiatives, following up on action items to ensure tasks are completed on schedule.
- Uphold a high standard of confidentiality, trust, and professionalism in all duties representing the City Manager’s Office.
- May perform other related duties as assigned.
- Associate’s degree or the equivalent with coursework in business, communications, public administration or political science or a related field.
