The Team Administrator is responsible for providing executive assistant support for Financial Advisor(s) (FAs), Private Wealth Advisor(s) (PWAs), and teams. This includes responsibilities such as phone coverage, calendar management, travel arrangements, expense processing, and other administrative tasks. A successful candidate will be highly organized, detail-oriented, and able to multitask effectively.
Duties and Responsibilities- Provide administrative coverage for a FA/PWA/team.
- Answer inbound phone calls and make outbound calls, scheduling follow-up calls as needed.
- Manage calendars, coordinate meetings or events, and prepare materials such as agendas and Zoom invitations.
- Maintain travel itineraries, prepare expense reports, and manage reimbursement.
- Assist with general in-office support functions (copying, filing, scanning).
- Submit expense reports for processing on direction of the FA/PWA.
- Participate in firm initiatives, training programs, special projects, and other duties directed by local management.
- High school diploma or equivalency.
- Willingness to obtain Series 7 (GS), and Series 66 (AG/RA) or Series 63 (AG) and Series 65 (RA).
- Highly detail-oriented with superior organizational skills.
- Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint).
- Effective written and verbal communication skills.
- Strong time management and multitasking ability.
- Team player who collaborates with others.
- Ability to work in a fast-paced, evolving environment.
