Position Summary
The Executive Assistant to the President provides comprehensive administrative and operational support to the President, serving as a trusted partner in managing day‑to‑day operations and organizational initiatives. This role combines executive support with program management, event coordination, and cross‑functional leadership. The position requires exceptional organizational skills, discretion in handling confidential information, independent judgment, and the ability to manage multiple complex projects simultaneously.
The Executive Assistant to the President supervises the Administrative & Events Coordinator and serves as a resource and mentor to other administrators across the organization.
- 4+ years of experience in office administrative support
- Previous managerial experience required.
- High school diploma or GED required.
- Advanced proficiency with Microsoft Word, Excel, and Outlook.
- Highly proactive self‑starter with ability to anticipate needs, identify issues, and take initiative without prompting
- Strong project management skills with ability to manage multiple complex initiatives simultaneously.
- Proven experience coordinating programs, events, or organizational initiatives.
- General knowledge of office equipment such as copiers, fax machines, computers, etc.
- Demonstrated clerical skills.
- Excellent time management skills.
- Strong attention to detail with ability to maintain high level
- Professional demeanor with ability to represent executives and organization effectively.
- Able to speak, write, and read the English language.
Job Duties And Responsibilities
- Manage President's calendar including all meetings, recurring appointments, and scheduling coordination.
- Coordinate all travel arrangements and logistics for President.
- Manage inbox and correspondence on behalf of President.
- Provide project support for President‑led initiatives.
- Handle highly confidential documents and sensitive information with discretion.
- Administer ETF (Leadership Program) including all backend logistics and meeting coordination.
- Manage Mentoring Program logistics and administration on behalf of the President.
- Coordinate Steering Committee biannual meetings including agenda development, activities planning, meals, printed materials, setup, and venue coordination with meeting facilitator.
- Provide logistics and administrative support for EOS (Entrepreneurial Operating System) team.
- Assist with planning and execution of corporate events.
- Coordinate President's annual branch "world tour" including travel, tenure plaque preparation, and all logistics.
- Organize and manage executive team offsites and retreats.
- Attend confidential leadership and ownership meetings; provide documentation and support.
- Coach and mentor other administrators throughout the organization.
- Serve as resource for organizational questions and problem‑solving.
- Act as liaison across departments for organizational initiatives and communication.
- Supervise Administrative & Events Coordinator including coaching, development, and performance management.
- Provide dotted‑line support and guidance to EA to Regional Manager.
- Delegate and oversee events, office management, and administrative functions.
- Coordinate executive team meetings and leadership gatherings.
- Facilitate cross‑functional communication and project coordination.
- Represent President and organization professionally in meetings and correspondence.
- Completes a variety of assignments that facilitate the President’s ability to effectively lead the organization.
- Serves as "Gatekeeper" role to the President and has independent decision authority on office organization and workflow coordination.
- Responsible for management, budgeting, and approvals of all company Business Cards working with marketing team.
- Draft, edit, and distribute communications for the executive team.
- Manage building resources, space needs, equipment decisions and resources with independent judgement and decision making.
- Maintain confidential executive and company information with the utmost discretion.
