Job Description

As the Operations Executive/Personal Assistant/Office Manager, you will play a crucial role in ensuring the smooth and efficient operation of our firm. You will be responsible for coordinating with all internal and external stakeholders, managing operational tasks, handling client transactions where necessary, and facilitating effective communication among staff and directors. Your ability to handle multiple responsibilities with precision and discretion will be key to your success in this role.

Essentially, you will be the key contact point for all back‑office functions.

Key Responsibilities
  • Operational Management:
    • Coordinate daily operations to ensure the smooth functioning of the workplace.
    • Manage office supplies and inventory in a timely manner.
  • Executive Assistance to Directors:
    • Provide comprehensive administrative support to the directors, including managing their schedules, arranging virtual meetings, and handling correspondence.
    • Coordinate travel arrangements and prepare itineraries for the directors.
    • Assist in preparing reports, presentations, and other documentation as required by the directors.
  • Internal and External Coordination:
    • Serve as one of the primary points of contact for internal and external stakeholders, addressing inquiries, scheduling meetings, taking minutes, and ensuring stakeholder satisfaction.
    • Coordinate all client transactions, ensuring accuracy and timely processing.
    • Attend internal meetings, take notes, and follow up on action items.
    • Maintain and update client records and databases, ensuring data integrity and confidentiality.
    • Facilitate effective communication between the directors and staff, ensuring timely dissemination of information.
    • Organize and coordinate staff meetings, including preparing agendas and taking minutes.
Qualifications
  • Proven experience as an Operations Executive/ Personal Assistant/ Office Manager, or similar role, preferably within the financial consulting industry.
  • Excellent organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Strong communication and interpersonal skills, with a professional demeanor.
  • Proficiency in virtual meeting platforms (e.g., Zoom, Microsoft Teams) and project management tools.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with office management software.
  • Discretion and confidentiality in handling sensitive information.
  • Excellent verbal and written communication skills in English.
  • Ability to work independently and remotely.
