We are looking for an experienced and skilled Operations Outbound Coordinator to assist in the management of all EMEA outbound flow to our customers, ensuring effective and efficient throughput in the warehouse and on-time delivery to our customers. This individual will be responsible for: sending shipping advice notices to the warehouses, assisting with the flow and transit times to ensure on-time delivery, updates to the sales team on order status and generation of shipping documents for example, commercial invoices and packing lists.

Having strong communication and organization skills are essential for success within this role.

• Coordinating and scheduling all outbound shipments in accordance with customer requirements and company policies.
• Working closely with our 3PL’s to ensure orders are picked, packed and shipped on time in full.
• Communicating with carriers and 3PL’s to arrange timely delivery and pickup, ensuring prompt delivery/collection of shipments through fluid follow-up measures.
• Tracking shipments to meet customer delivery requirements.
• Preparing documents, packing lists, commercial invoices, and shipping instructions.
• Updating new shipping manuals and ensuring compliance with established requirements.
• Responding to sales team questions and enquiries and feeding back on status of deliveries.
• Managing logistics’ inbox, responding and filing of emails.
• Working with the Ops Inbound team for up-to-date inbound information and prioritizing shipments and deliveries where necessary.
• Performing the Ops administrative tasks required to manage key accounts.
• Preparing reports for senior management, when appropriate.
• Supporting continuous improvement initiatives related to outbound logistics and operational efficiency.
• Assisting with special events, send outs, and all other Pixi Ltd company initiatives.
• Unloading product deliveries to the office and our Boutique store as needed.

• Proven experience in a Logistics role.
• Must have an eye for detail, superb organizational skills and administrative abilities.
• Must have excellent communication skills.
• Must have excellent Excel and Microsoft Office skills.
• Must have a willingness to learn and have a positive team player attitude.
• Previous experience in the Beauty and skincare sector preferable.
