Detailed job description and main responsibilities Team Supervision and Support
- Provide day‑to‑day support and guidance to administrative staff under the direction of Operational and Clinical Leads.
- Assist with workload allocation, supervision, induction, and appraisal activity.
- Act as a first point of contact for administrative staff queries and escalating issues appropriately.
- Coordinate daily administrative functions to ensure efficient service operation.
- Ensure systems and records are maintained accurately and in line with Trust policies.
- Support the achievement of service KPIs and escalating performance concerns where required.
- Contribute to the development and implementation of efficient administrative processes.
- Liaise with clinical teams, service users, carers, and external stakeholders as required.
- Communicate sensitive and complex information appropriately, taking account of individual needs.
- Work closely with prescription administration teams to ensure service requirements are met.
- Support compliance with NICE guidance and organisational policies.
- Provide administrative support for audits, reporting, and service improvement initiatives.
- Assist with the preparation of reports relating to team performance and service activity.
- Provide cover for absent team members to ensure continuity of administrative support.
- Participate in training, meetings, and service development activity.
- Support financial and administrative procedures, including ordering supplies, stock control, petty cash, and Health Roster updates.
- Maintain a professional, approachable manner at all times.
- NVQ Level 3 in Business Administration or equivalent qualification.
- GCSEs (or equivalent) in English and Mathematics at Grade C or above.
- Evidence of ongoing professional development and willingness to gain relevant qualifications.
- Experience in a senior administrative role, including supervising or managing staff.
- Proven ability to manage competing priorities in a fast‑paced environment.
- Experience of working with IT systems and managing databases.
- Experience in healthcare or mental health settings.
- Experience implementing process improvements or supporting audits.
- Strong organisational and time‑management skills, with the ability to prioritise workloads effectively.
- Excellent communication and interpersonal skills, both verbal and written.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
- Approachable, professional, and supportive, with a positive attitude.
