About The Role
We are looking for a proactive, highly organised Personal Assistant to provide dedicated 1:2 support to the Head of Private Office and Head of Partnerships. This fast‑paced and varied role will allow you to act as a trusted right‑hand partner, managing priorities, anticipating needs and ensuring the smooth running of day‑to‑day activities. You will bring a solutions-focused mindset, excellent judgement and a calm, discreet approach.
Key Responsibilities- Diary and stakeholder management – manage complex and ever‑changing diaries, anticipate conflicts and prioritise effectively; coordinate internal and external meetings, including logistics, room bookings and virtual set‑up.
- Meeting support and materials – prepare briefing packs, documents and presentations; attend selected meetings, take minutes and track actions; create high‑quality PowerPoint presentations.
- Correspondence and administration – screen and manage inboxes, calls and communications; maintain organised digital filing systems.
- Travel and expenses – arrange UK and international travel, including detailed itineraries; process and submit expenses.
- Business support and coordination – act as an ambassador for stakeholders internally and externally; build strong relationships across the business and with clients; support IT troubleshooting where needed; assist with appraisal processes, including scheduling and documentation.
- Team and board coordination – work closely with the Senior Executive Assistant on board‑related actions; support holiday tracking and approvals for wider teams; collaborate with the PA community and provide cover when required.
- Events and projects – support internal and external event coordination; assist with ad‑hoc projects and wider team initiatives.
- Minimum 2 years' experience in a PA role, ideally within financial or professional services.
- Strong Microsoft Office skills including Outlook, Word, Excel, PowerPoint and Teams.
- Excellent organisational skills with the ability to manage competing priorities.
- Professional, discreet and confident in handling sensitive information.
- Strong communication skills, both written and verbal.
- Collaborative and adaptable, with a proactive approach.
- Experience supporting senior stakeholders is preferred.
- Reports to the Head of Private Office and Head of Partnerships.
- Dotted line to Senior Executive Assistant, Knight Frank Finance.
