The EU Prime and Marketing team is seeking an exceptionally proactive, customer‑obsessed and team‑oriented Executive Assistant with a history of high performance to support two directors based in the UK/Europe.
Responsibilities- Manage a complex, multi‑time zone calendar; ruthlessly prioritise time against what matters most
- Own the rhythm of business end‑to‑end: W , M , Q , All‑Hands, offsites, and team events
- Coordinate travel across the EU; handle confidential information with impeccable judgement
- Operate two steps ahead – anticipate needs, flag what’s urgent, and deflect what’s not
- Quickly build a deep understanding of EU Prime & Marketing priorities, organisational structure, and stakeholders
- Act as gatekeeper and sounding board – know where the leader’s time should go and propose course‑corrections
- Leverage AI and work with the director to define how best to utilise AI in the EA / Executive relationship and within the team
- Own the internal communications strategy: define the right cadence and format (quarterly messages, All‑Team connects, ad‑hoc updates)
- Ensure messaging is consistent, authentic, and resonates across a multi‑country audience
- Partner with and help steer the org’s culture champions / fun committee network
- Drive initiatives that foster connection and belonging regardless of location
This role requires superior attention to detail, great organisational skills, and the ability to juggle multiple critical requests. A high level of integrity and discretion in handling confidential information and professionalism in dealing with senior leaders inside and outside the company is essential. A good sense of humour, flexibility, and the ability to change direction at a moment’s notice are also critical.
The successful candidate will possess the ability to complete complex tasks quickly and independently, react with appropriate urgency to situations that require a quick turnaround, and take effective action without a full picture. The role will work closely with other Executive Assistants throughout the organisation and the company. You should ideally have knowledge and experience working with a global team across multiple time zones, languages and cultures.
Candidates should demonstrate an understanding of business structure and a desire and aptitude for learning new concepts quickly.
- Knowledge of Microsoft Office products and applications
- Experience as an Executive Assistant
- Experience with executive‑level calendar management
- Experience with domestic or international travel coordination
- Experience leading process improvements
- Experience in a fast‑paced, high‑tech company
- Experience designing processes to maximise efficiency
