We are seeking an experienced and highly organised Legal Personal Assistant to provide comprehensive support to senior stakeholders, fee earners and clients.
As a Legal PA you will play a key role in ensuring the smooth delivery of client services, acting as a trusted support partner across a broad range of administrative, financial, client relationship and project coordination activities.
This is a full-time role, working hours of 9.30 am - 5.30 pm, hybrid working 2 days per week and a great benefits package. This is initially a 12 month FTC with the opportunity to go permanent.
Key Responsibilities Client & Stakeholder Support- Act as a key point of contact for clients, managing communications professionally and efficiently.
- Build and maintain strong relationships with internal stakeholders and external clients.
- Coordinate client meetings, ensuring all logistics, materials and follow-up actions are managed effectively.
- Support client care initiatives and contribute to delivering an outstanding client experience.
- Manage complex diaries and scheduling for senior stakeholders.
- Organise meetings, conference calls and events, including room bookings, catering and technology requirements.
- Coordinate domestic and international travel arrangements and itineraries.
- Assist with the preparation of presentations, pitches, reports and client-facing materials.
- Coordinate and support client projects, ensuring deadlines and deliverables are met.
- Work closely with Business Development and Marketing teams on events, initiatives and client activities.
- Identify opportunities to improve processes and enhance service delivery.
- Support billing, invoicing, expenses and time recording processes.
- Liaise with finance teams regarding client accounts, billing queries and credit control matters.
- Produce financial and management reports as required.
- Manage file opening, conflict checks and risk assessment processes.
- Draft engagement documentation and maintain accurate client records.
- Ensure information is updated across relevant systems and databases.
- Coordinate document production, scanning, filing and administrative workflows.
- Monitor and prioritise workloads to ensure deadlines are consistently achieved.
- Experienced in a Personal Assistant, Executive Assistant or Client Services support role.
- Comfortable working within a professional services, legal, financial or corporate environment.
- Highly organised with the ability to manage multiple priorities simultaneously.
- Proactive, solutions-focused and able to work independently.
- Confident communicating with stakeholders at all levels.
- Skilled in Microsoft Office and experienced using business management systems.
- Detail-oriented with a commitment to accuracy and excellence.
