Workplace Projects & Contracts Coordinator London | Hybrid Working (Minimum 3 Days in Office) | Permanent

A prestigious international law firm is seeking a Workplace Projects & Contracts Coordinator to join its Property & Workplace Services team in London.

This is an exciting opportunity for an organised and proactive coordinator with experience in workplace, facilities, property, or corporate services environments. Working closely with project managers, procurement, finance teams and external suppliers, you will play a key role in delivering workplace projects, managing supplier contracts, and supporting the firm's property portfolio.

The Role

As Workplace Projects & Contracts Coordinator, you will support the successful delivery of workplace projects ranging from office moves and refurbishments to sustainability and workplace improvement initiatives.

You will act as a central point of coordination, ensuring projects remain on track, contracts are effectively managed, and property information is maintained accurately. The role requires excellent organisation, strong stakeholder management skills and a keen eye for detail.

Key Responsibilities Workplace Projects
  • Support the delivery of office moves, refurbishments, fit-outs, workplace improvements and sustainability projects.
  • Coordinate project plans, timelines, documentation and reporting.
  • Arrange project meetings, workshops and stakeholder engagement activities.
  • Monitor project milestones, risks and issues, providing regular updates to stakeholders.
  • Coordinate supplier activities and track delivery against agreed objectives.
  • Support workplace communications and change management initiatives.
  • Maintain project governance records and documentation.
Property & Portfolio Administration
  • Maintain accurate records relating to leases, licences, occupancy data and property information.
  • Monitor key lease events, including renewals, break clauses and rent reviews.
  • Support property planning, acquisitions, relocations and portfolio initiatives.
  • Produce reports on occupancy, property costs and portfolio performance.
  • Assist with annual planning and budgeting activities.
Contracts & Supplier Management
  • Maintain a comprehensive contracts register and monitor renewal timelines.
  • Coordinate supplier review meetings and performance reporting.
  • Support the mobilisation of new suppliers and service providers.
  • Track supplier performance against agreed service levels and KPIs.
  • Manage contract documentation and governance records.
  • Support contract variations and procurement processes.
Reporting, Governance & Financial Administration
  • Raise purchase orders and monitor project expenditure.
  • Assist with invoice validation and budget tracking.
  • Prepare reports, dashboards and management information.
  • Support procurement exercises, business cases and governance approvals.
  • Assist with compliance reviews and audit requests.

  • Experience working within legal, professional services or corporate environments.
