Job Summary

To provide an efficient and comprehensive city‑wide mail and printed material distribution and collection service. To provide an efficient service within the Authority's Corporate Post Room including sorting and delivering of incoming mail, as well as the preparation and sending of outgoing mail. To deliver a high‑quality document management system including preparation, scanning, referencing and administrative services to Revenues & Benefits and other Service Areas within Hull City Council.

Salary: £24,796.00 – £25,583.00

Principal Accountabilities
  • Drive a van to deliver and collect internal mail to and from Council, School and other sites as directed; collect external mail from Council sites for processing within the Corporate Post Room for collection by the Council’s external postal provider; collect and deliver printed material from the Council’s Print Unit to sites as directed.
  • Deliver a weekly postal bag to all elected members’ home or nominated address late Friday afternoon.
  • Undertake the effective operation of the Post Room including sorting and dispatch of incoming and outgoing mail; deliver and collect post from other departments within the City.
  • Undertake the timely secure opening, scanning and batching of all Revenues & Benefits incoming post/documents, ensuring produced images are of quality, accurately referenced and forwarded to relevant teams; ensure all priority documents are scanned and referenced on day of receipt and scan documents for other departments as required.
  • Ensure original documents are authentic, appropriately verified, recorded and securely returned to the customer at the earliest opportunity; ensure returned undelivered items of post containing original documents are checked and returned to the correct teams or sent back out via Recorded Delivery.
  • Collate cheques, cash and postal orders received in the post and securely deliver them to the Treasury Department.
  • Ensure that all necessary systems are kept updated so statistical information can be extracted to assist with the production of monitoring and performance reports.
  • Provide assistance and support to colleagues, giving guidance, direction and training on operational matters in line with office practice and procedure to ensure a consistent approach to service delivery.
  • Liaise with and develop good working relationships with both internal and external partners and customers.
  • Health and Safety responsibilities under the Health and Safety at Work etc. Act 1974 and associated legislation, including personal responsibility for health, safety and wellbeing of self and others as identified in the Council’s Corporate H&S policy.
