About the roleWe are looking for an experienced Production Coordinator to join our busy eSports team to work across all the live events on our slate.
The role will suit an experienced Production Coordinator who thrives working in a fast‑paced team.
The role will include coordinating complex shoots both in the UK and internationally and booking travel for large teams.
Live event and OB experience essential, as is a great working knowledge of rights & music clearance, post‑production paperwork & archive clearance.

Key Responsibilities- Provide direct support to the Production Manager and wider team, ensuring clear communication of key production information across all departments, crew, and talent
- Organise call sheets and book travel for production, crew, contributors, and talent both in the UK and internationally
- Create and maintain detailed production schedules across pre‑production, live event/shoot, and post‑production phases
- Negotiate rates with external suppliers and crew
- Coordinate and deliver a range of production elements across location, studio, and OBs
- Support the Production Manager with budget tracking, including raising purchase orders, processing expenses, reconciling petty cash, monitoring spend, and liaising with the finance team where appropriate
- Understanding of music reporting requirements and ensuring accurate cue sheets are maintained and submitted
- Assist Producers with archive and clip clearance processes, ensuring all material is cleared for use and properly documented
- Understanding knowledge of Health and Safety policies
- Assist with completing the Albert Carbon Calculator, tracking data accurately (travel, catering, power, materials) and supporting sustainable production practices

- At least two years of Production Coordinator experience in a broadcast environment
- Live event and OB experience essential
- Comfortable working in a busy, ever‑changing environment
- Experience of dealing with logistics both in the UK and internationally, including visa applications and carnets
- Good communication skills and an aptitude to learn new tasks, as well as a strong team ethic
- Excellent organisational and time‑management skills
- Familiarity with broadcast production workflows & basic technical understanding
- Basic budgeting skills
- Proficiency in Microsoft Office and production management tools
- The ability to prioritise tasks and work under pressure
- Ability to work effectively with others, manage relationships in a diverse team and promote a positive work ethic
- Ability to work on your own initiative and ability to refer up when necessary
- Excellent attention to detail and ability to react quickly to project changes
- Flexibility and adaptability to changing workloads and new systems
Kew, London
Working Days5‑day week, 4 days in office and 1 day WFH.
You will be expected to work with the team to plan a schedule based on production requirements.
Lieu days will be given for any days worked over a five‑day work week.
Whisper offers the option of flexitime hours, subject to production requirements.
