We are seeking a highly organised and motivated Project Manager to oversee the successful delivery of the Film Premiere and Multi-City Tour 2025. The Project Manager will take full responsibility for planning, coordinating, and executing the film’s launch events across the UK, ensuring high-quality delivery, audience engagement, stakeholder satisfaction, and smooth operations from start to finish.
Key Responsibilities 1. Project Planning & Coordination- Develop and oversee the master project plan, timelines, and schedules.
- Liaise with all stakeholders, including internal teams, external partners, venues, and contractors.
- Ensure the delivery of project milestones within agreed time frames.
- Lead on the London Premiere and subsequent 6–7 city tour events.
- Research, identify, and secure suitable venues in line with capacity, facilities, and accessibility needs.
- Oversee event execution, including site inspections, venue contracts, and adherence to health & safety requirements.
- Ensure smooth audience entry, registration, and seating flow, including planning floor layouts and emergency protocols.
- Coordinate Salah areas, accessibility arrangements, and guest services.
- Manage transportation, van hire, and movement of technical/event equipment.
- Develop and implement a setup/breakdown action plan for each venue.
- Oversee AV/PA, stage design, and lighting requirements in collaboration with technical teams.
- Ensure event uniforms, lanyards, wristbands, and welcome packs are produced and distributed.
- Develop itineraries and briefs for speakers/artists, ensuring smooth logistics and wellbeing.
- Recruit, brief, and manage volunteers, including training on roles, health & safety, and code of conduct.
- Provide on-the-day management of volunteers and staff, ensuring effective communication and delivery.
- Work alongside the marketing team to deliver promotional campaigns and outreach.
- Support with organic and digital marketing strategies, including community engagement and influencer outreach.
- Ensure brand alignment and consistent messaging across all platforms and materials.
- Oversee production and distribution of event collateral (posters, welcome packs, FAQs, maps, signage).
- Support in developing and delivering sponsorship packages.
- Manage sponsor relations, ensuring obligations are fulfilled during events.
- Provide VIP hospitality and ensure high standards of stakeholder care.
- Develop and deliver event running orders.
- Coordinate with AV/PA teams and stage crews to ensure smooth programme flow.
- Act as central point of communication between all production and delivery teams during live events.
- Maintain project documentation, contracts, and event records.
- Manage enquiries and stakeholder communications.
- Provide post-event reporting, including evaluation of delivery, challenges, and lessons learned.
- Proven experience in project or event management (ideally within arts, film, cultural, or touring events).
- Strong organisational and multitasking skills with the ability to manage complex logistics.
- Excellent stakeholder management and communication skills.
- Experience working with venues, technical teams, and external contractors.
- Ability to manage volunteers and diverse teams effectively.
- Knowledge of health & safety and risk management in event settings.
- Comfortable working under pressure and to tight deadlines.
- Flexibility to travel and work evenings/weekends as required during the tour period.
- Experience in film or arts festival management.
- Understanding of audience engagement strategies, particularly within community settings.
- Familiarity with sponsorship activation and VIP stakeholder management.
Duration: 4 months (September – December 2025)
Commitment:
Part-time, three days per week, flexible hours, with additional flexibility required during event weeks.
Location:
London base with national travel across UK cities.
Pay:
Negotiable, based upon experience.
