Role Overview

The Festival Project Coordinator is the operational heartbeat of UNUM Festival. Acting as the single link between the Board of Partners and all Heads of Department (HoDs), this role ensures plans are delivered on time, on budget, and to the highest standard. They will maintain project structure, monitor accountability, and drive communication across all teams, reporting directly to the Partners.

Key Responsibilities
  • Planning & Tracking
  • Maintain the festival-wide master plan with timelines, milestones, and deliverables.
  • Create and distribute weekly/monthly progress reports to the Partners.
  • Ensure all HoDs are working to deadlines and escalated issues promptly.
Departmental Coordination
  • Directly coordinate all HoDs (Marketing, Sales/Sponsorship, Artist Relations, Production, Operations, Logistics, Finance, Volunteers, Festival Activities).
  • Chair weekly coordination meetings and circulate action points.
  • Support departments in resolving interdependencies and bottlenecks.
Reporting & Accountability
  • Act as the single reporting line between departments and the Board of Partners.
  • Provide clear, concise updates on status, risks, and opportunities.
  • Track budgets and flag any financial issues to Finance/Partners.
Operational Support
  • Be on the ground in Albania during the festival build, live days, and breakdown.
  • Manage daily check-ins with departments to ensure smooth delivery.
  • Act as escalation point for urgent cross-departmental issues.
Post-Festival Evaluation
  • Lead the internal debrief process with departments.
  • Deliver a final project report to the Board with learnings and recommendations.
Key Skills & Experience Essential
  • 2-4 years’ experience in events, project management, or operations.
  • Strong leadership potential with confidence to direct senior HoDs.
  • Excellent organisational, planning, and communication skills.
  • Financial awareness and ability to manage budgets.
  • Resilient, proactive, and adaptable under pressure.
  • Fluency in English.
Desirable
  • Experience with Asana or similar project management tools.
  • Fluency in Albanian (spoken & written).
  • Previous experience in festivals, music events, or large-scale productions.
  • Strong presentation/reporting skills for partner updates.
Contract Details
  • Duration: 9/10 months (Oct/Nov 2025 - July/August 2026)
  • Location split:
    Approx. 60% London / 40% Tirana, with extended stay in Albania during festival period (April-June 2026).
  • Salary: TBC
  • Additional:
    Flights, accommodation, and per diems provided for Albania periods.
