Junior Legal PA/Practice Assistant
The hours of work for this opportunity are 09:30am-5:30pm but it is essential to be committed, flexible and prepared to work beyond the normal office hours when necessary and in response to client demands in the completion of deadlines and projects
OverviewSupport Partners and the wider team of Associates and trainees as a Junior Legal PA in Intellectual Property within this ever-growing and forward-thinking London City law firm. The Junior Legal PA will take an active interest in understanding all aspects of client requirements and provide an exceptional service to both lawyers and clients. Our client is ideally looking for a talented junior Secretary or Junior PA, who ideally will have 18 months
-2 years legal experience as a minimum, as the salary offered is ranging to accommodate experience. The team are looking for someone who is keen to learn but has experience of Fee Earner allocation and familiar with diary management, document work, and ideally exposure to some invoicing and billing, as this would be advantageous. The IP and Commercial Team cover wide ranging areas of intellectual Property including advising on copyright, due diligence, trademarks, data, technology disputes and IP and licensing, alongside also advising on commercial contracts and data protection law so the range of work is diverse with much to embrace. Our client has a wide-ranging client portfolio, including charities, private business, public sector and education
Duties- Proficient typing, diary management, and organisational and administrative support to Fee Earners (whether Partners, Associates, or Trainees) and ability to liaise with clients. You will need to demonstrate a keen interest in this sector, although the client will consider those with transferable skills from other practice areas. You will need to demonstrate a committed approach to learning the business area, and the firm’s methodologies of working
- Opening new client files and learning and completing Anti-Money Laundering practices and conflict searches, seeking fee earner guidance where necessary and all compliance matters
- Strong organisational skills and proactive approach alongside the ability to be aware of fee earners’ workload and requirements. Additionally support other PAs and Business Support colleagues in a timely and efficient manner, and be flexible if extra hours are required to meet deadlines.
- Complete dairy management tasks for fee earners and your own diary, and keeping the team informed of training and development courses away from the department
- Processing relevant applications, forms, or searches, seeking advice and guidance where necessary
- Create and save all client related documents, including the Terms of Engagement and Client Care Letters to the relevant client folder in the document management system and ensure documents can be shared electronically with confidence and develop a good knowledge of all systems/processes used within the team
- Develop and understanding of the scope of work undertaken by the firm’s Business Services teams including IT, the Document Support Team and Finance
- Manage excellent relationships with clients and colleagues as a point of contact for Fee Earners
- Create new documents under instruction using the firm’s templates and precedents, using contact data from the Client Relationship/Case Management system
- Proof-reading of all documents for spelling, grammar, and accuracy
- Maintaining filing ongoing to ensure all files are organised, processed, and recorded appropriately
- Assist in the preparation of client billing, preparing, and drafting invoices under instruction
- Align with the firm's values
- Have a positive outlook, friendly approach and respectful to colleagues and clients
- Have effective listening and questioning skills for clarity in the work you conduct
- Work as a team player, offering help when with spare capacity and is willing to assist other fee earners in the practice area or department during busy periods alongside respecting diversity and inclusivity
