Assistant Vice President, Business as Usual – Change Management

MAIN PURPOSE OFTHE ROLE
Responsible for delivering a series of Business as Usual Change Management projects and support initiatives to enhance services across the Digital Engineering Services and Solutions department. Actively work with the department’s Product Owners to plan, direct, govern and deliver BAU maintenance and service improvement projects to enhance productivity and efficiency of operations, drive cost optimisation and meet the department’s wider strategy and objectives within the Corporate Technology Department.
KEY RESPONSIBILITIES- Work with Team Leaders to identify and implement opportunities to enhance product functionalities, improve service quality and mitigate risk, ensuring within financial boundaries.
- Manage the Business as Usual Change Management and Support programmes of work pipelines to build and maintain a workload pipeline to predict future demands, activity and performance.
- Provide visibility of internal workloads across planned and unplanned workloads to ensure effective pipeline management.
- Work with the Department Service Owners to ensure that a proposed pipeline schedule of work/changes is realistic whilst considering available capacity; co‑coordinate and articulate any challenges to the delivery timeline.
- Scope requirements, working with Digital Engineering Services and Solutions Architect and Product Owner to understand solution and create the baseline plan. Ensure project delivery adheres to agreed scope and baselined timeline.
- Carry out analysis and form clear recommendations and proposals on projects based on sound business rationale. Clearly capture and articulate strategic imperatives and benefits of projects.
- Scope each project and plan individual project delivery for technical and non‑technical initiatives.
- Ensure that all Business and Usual Change Management Projects and support Service programmes‑aligned works are planned and delivered within agreed project timelines and budgets.
- Work closely with the DES Optimisation Manager and DES Engagement Manager for pricing mechanisms and costs to support the programme. Assess cost and feasibility whilst planning and delivering services.
- Ensure sufficient Infrastructure capacity to meet in‑house project and BAU programme deliverables.
- Appropriately organise, structure and adequately resource staff with appropriate skillsets to deliver on agreed workloads within BAU Change Management and service support projects.
- Structure the project plan with meaningful milestones that when baselined provide a basis to feed into regular project reporting.
- Engage all stakeholders of the project and put in place effective governance using the guidelines in the project delivery framework.
- Sign‑off all deliverables assigned to the Project Manager roles in the project delivery lifecycle RACI and roles and responsibilities.
- Obtain Approval of every project business case (benefits vs cost).
- Obtain approval for project go‑live and to move items from pipeline into delivery.
- Provide transparency as to project progress in regular project updates; ensuring that no project reporting data becomes “stale” or out of date.
- Ensure that reporting updates are meaningful to all project and stakeholders, not all of whom will be SME’s in all aspects of the project. Provide executive summarized information when requested.
- Oversee task tracking and dashboard creation for BAU Change Management and service improvement delivery; track requirements delivery and ensure open items are closed.
- Provide MI surrounding delivery progress, RAID items, critical path milestones and key delivery dependency.
- Identify and understand issues, errors or concerns, swiftly and accurately and resolve problems considering agreed policy, procedures and service needs.
- Responsible for coordination and delivery of supplier onboarding management, third‑party risk management, compliance and data protection governance when delivering new or existing services.
