Purpose of the Position

The Admin Assistant will provide administrative and clerical support to ensure the efficient functioning of the department. The successful candidate will assist with documentation management, meeting coordination, record keeping, and general office administration.

This role is essential in maintaining organised departmental operations and supporting management with various administrative duties.

Key Responsibilities

The successful candidate will be responsible for the following duties:

  • Managing and recording incoming and outgoing correspondence.
  • Preparing and distributing meeting minutes, presentations, and official documents.
  • Coordinating departmental meetings, workshops, and work sessions.
  • Managing travel arrangements, including accommodation and flights in line with organisational policies.
  • Providing support with departmental budgeting and financial documentation.
  • Ensuring that documents meet quality standards before submission to management.

Applicants must meet the following minimum requirements:

  • A relevant certificate or short course at NQF Level 4 depending on operational requirements.
  • MS Office certification will be an added advantage.
  • One to two years of relevant administrative experience.

Candidates should demonstrate knowledge and skills in the following areas:

  • Office administration and records management
  • Basic bookkeeping and financial administration
  • Computer literacy and proficiency in office systems
  • Report writing and documentation management
  • Statistical reporting and information management
