Summary:
Ensures payroll is processed with speed and accuracy. Serves as liaison to employees and with third party payroll vendors to ensure payroll processing accurately reflects company specific pay policies. Audits employee pay records and reconciles totals by department, location, country, etc. Coordinates third party payroll system implementations and upgrades. Interprets pay policies, (e.g., vacation, LOA, disability, workers compensation, union contracts, government regulations, withholding exemptions, etc.)
and ensures appropriate amounts/deductions are calculated and applied to the various accounts correctly. Verifies compliance with federal and state payroll requirements; stays current with changes in the law. May assist with audits of internal records, workers compensation, tax filings and related documentation. Documents payroll processes and procedures; may train payroll department staff. May back up those who perform specialized tasks or activities such as stock option exercises, SEC document filing, or sales commission calculation reviews.
Duties & Responsibilities:
Canada:
- Preparation and processing biweekly payrolls using ADP WFN
- Processing all payroll data, including commission reports, timesheets, RSU/ESPP, car allowances, and deductions
- Processing employee terminations and settlements in accordance with provincial legislation
- Maintain and update all employee rates, salaries, banking information, and time-off details in the payroll system
- Ensure all data files are complete for transmission to ADP Prepare, report & request payment of monthly WSIB premiums
- Process full cycles year end reporting, T4’s, T2200’s, etc.
- Investigate and resolve payroll issues
- Request and review Record of Employment’s through ADP WFN
- Other duties as assigned/required
USA:
- Responsible for processing bi-weekly payroll within the U.S. multi-state payroll, including garnishments, benefits, and taxes consistent with federal and state wage and hour laws using ADP WFN
- Subject matter expert on all payroll processes and procedures, including but not limited to, off-cycle payrolls, retro-active payments, documenting and updating procedures, preparing general ledger entries, etc.
- Audit eTIME system for accurate recording of time and attendance
- Answers employee questions and research issues
- Special projects as needed
Pre-Requisites / Skills / Experience Requirements:
- Minimum 5 years of full cycle payroll processing experience
- In depth knowledge of payroll is required (Canada & US)
- Knowledge of multi-provincial (Canada) & multi-state (US) payroll rules and regulations is mandatory
- ADP Workforce Now experience preferred
- Oracle R12 experience preferred
- Excel skills - Intermediate
- Must be able to work in a fast-paced environment
- Demonstrated organizational and time management skills
- Excellent communication skills, both verbal and written
- Self-motivated Team player
