EventsSpecialist
As the Events Specialist aligned to Insight’s internal events team, you’ll be responsible for planning and executing high-impact internal events and experiences on time and within budget. This includes programs such as Insight’s business kickoff (Amplify), annual incentive trip (Summit Club), leadership strategy sessions, recognition events, teammate engagement programs, and other internal gatherings. In this role, you’ll partner closely with internal stakeholders and executive teams to understand event goals, audience needs, messaging, budget, and desired outcomes, while managing the logistics, communications, vendors, and onsite execution needed to deliver polished and purposeful experiences.
What you’ll do at Insight:
Plan and execute internal events and experiences, including large-scale company meetings, leadership strategy sessions, incentive trips, recognition programs, teammate engagement events, and virtual or hybrid internal programs.
Meet with internal stakeholders, executive sponsors, and cross-functional partners to understand event goals, audience needs, key messages, desired outcomes, timelines, and budget requirements.
Outline and manage event timelines, milestones, project plans, deliverables, and key decision points from planning through post-event wrap-up.
Manage end-to-end logistics, including venue sourcing, hotel room blocks, attendee communications, registration, transportation, food and beverage, AV, staffing, gifting, shipping, onsite materials, and event supplies.
Review, negotiate, and coordinate execution of event-related contracts, statements of work, and vendor agreements in partnership with appropriate internal teams.
Work with third-party partners, including hotels, venues, destination management companies, event planning agencies, production partners, transportation companies, and hotel event staff where appropriate.
Support incentive travel and destination-based programs by coordinating attendee experience planning, DMC partnerships, agenda development, offsite activities, gifting, travel logistics, and executive/VIP needs.
Build registration pages and manage the full registration process, including gathering invite lists, updating emails and invitations, managing RSVPs, tracking attendee details, and supporting event reporting.
Submit creative requests related to event needs and provide clear updates and direction for creative, brand, internal communications, PR, and other marketing teams.
Communicate regularly with event stakeholders, planning committees, executive teams, and cross-functional partners to ensure alignment on messaging, experience, logistics, and attendee needs.
Coordinate and indirectly manage volunteers, onsite staff, or support teams assisting with the event; ensure they have schedules, role clarity, training, and event-day direction.
