Summary / Objective

The Payroll Specialist provides administrative and clerical support to the Payroll Accountant/Controller by assisting with payroll data entry, timecard processing, employee inquiries, and various accounting support tasks. This role is responsible for maintaining accurate payroll records, assisting with compliance documentation, and supporting month-end processes.

Payroll Processing & Administration
  • Collect and enter timekeeping information from Tech Tool and Service Management into the Paylocity payroll system.
  • Review timecards for accuracy and completeness; obtain supervisory approval for all timecard discrepancies.
  • Assist with payroll processing including direct deposits, garnishments, and other deductions under the direction of the Payroll Accountant.
  • Assist with W‑2 processing and year‑end calculations.
Accounting Support
  • Assist with recording payroll transactions to the general ledger under direction of the Payroll Accountant.
  • Assist with accounts payable tasks including entering invoices, sorting invoices for approval, and working within Sage Paperless.
  • Review monthly accounts payable statements and contact vendors regarding missing invoices as directed.
  • Assist with month‑end reconciliations and reporting as directed by the Payroll Accountant.
  • Perform data entry and administrative tasks related to payroll and accounting functions.
  • All responsibilities performed in accordance with GAAP and company policy.
Record Management & Compliance
  • Maintain organized payroll filing system and ensure all documentation is properly stored and accessible.
  • File and track all business licenses and certifications.
  • Support insurance compliance activities for subcontractors, including maintaining certificates of insurance.
  • Maintain confidentiality of all employee and payroll information.
  • Provide timely and complete documentation of work performed.
Employee Support & General Duties
  • Respond to routine employee inquiries regarding payroll, timekeeping, and related matters; escalates complex issues to the Payroll Accountant.
  • Operate vehicles and other equipment safely; adhere to safety protocols; report hazards and risks; contribute to a safe and secure working environment.
  • Perform other duties as needed and assigned.

Work Environment

This job operates in an office environment, routinely using standard office equipment such as computers, phones, copiers, etc.

Physical Demands

The employee is occasionally required to stand, walk, sit, use hands, reach with hands and arms, climb stairs, talk, or hear. The employee may occasionally lift or move office products and supplies, up to 20 pounds.

Required

Education and Experience
  • Associate’s degree in Accounting, Business Administration, or related field; or High School Diploma/GED with equivalent work experience.
  • Minimum 1–2 years of experience in payroll, accounting, or related administrative role.
Preferred

Education and Experience
  • Experience with Paylocity or similar payroll systems.
  • Experience with Sage Construction and Real Estate or Net Suite.
  • Basic knowledge of payroll processing and accounting principles.
