Contracts Administrator

Summary The Contracts Administrator I provides pre-award, post-award, and operational support to Chenega Corporation Security Strategic Business Unit (SSBU) projects under one or more subsidiaries. The Administrator works under the supervision and guidance of the Contracts Manager. Supports smaller to mid-range projects of a mostly Fixed Price nature. This position is hybrid, two days a week in our Chantilly, VA office.
Roles and Responsibilities- Pre-Award Support
- Provide contracts administration support to Federal, State, and commercial proposal submissions.
- Draft and negotiate Non-Disclosure Agreements and Teaming Agreements under the guidance of the Contracts Manager and General Counsel.
- Review RFPs, RFQs, and other solicitations for FAR and client requirements, including representations & certifications, due dates, and submission requirements.
- Inform the Contracts Manager of identified items and advise the BD team.
- Circulate RFTOPs within the internal IDIQ management team.
- Manage filing and organization of solicitation documents in SharePoint.
- Assist with drafting Q&A for solicitations when allowed.
- Coordinate support of the Business Services Team through the Support Center.
- Submit Q&A and final proposal (Technical and Business) to the client.
- Represent the organization to clients and partners.
- Draft and administer any subcontractor or partner RFPs or RFQs.
- Coordinate the review and approval of partner business proposals among internal team members.
- Post-Award Management
- Manage assigned contracts and associated subcontracts for program managers and corporate staff.
- Support kickoff and closeout of awards.
- Review and respond to contract modifications, securing internal reviews and signatures.
- Draft and submit Requests for Equitable Adjustments (REAs) and Requests for Equitable Pricing Adjustments (REPAs).
- Communicate on behalf of the organization with the client/customer under direction of Contracts Manager.
- Maintain accurate and complete contract files and database entries for awards.
- Advise project teams and SSBU staff on implementation challenges and answer questions regarding Federal regulations and contract requirements.
- Type and design general correspondence, memos, charts, tables, and business plans.
- Operational Support
- Work across teams to provide solutions and recommendations to Operations, Finance, Procurement, and Senior Management.
- Provide coverage for colleagues’ portfolios during absences or PTO.
- Support the Contracts Manager with special projects as assigned.
- Handle confidential and non-routine information.
- Organize and prioritize large volumes of information.
- Perform other duties as assigned.
- BS/BA degree in a business related field; experience may substitute for formal education.
- 0-2 years of experience in project or contract administration; government contractor background preferred.
- Valid state driver’s license.
- Ability to work flexible hours, including weekends and holidays if needed.
- Eligibility to obtain and maintain a DoD Secret clearance.
- Effective oral and written communication skills.
- Strong organizational and prioritization skills; ability to recommend solutions and resolve problems.
- Competency in standard office software:
Word, Excel, Access, PowerPoint, Outlook. - Ability to manage multiple assignments under frequent interruptions and high pressure.
- Proficiency in handling confidential and sensitive information; maintaining records.
