As an Exchange Coordinator, you’ll be the central point of contact from the first conversation to the final closing, making sure details are correct, deadlines are met, and every stakeholder is informed.

- Manage 1031 exchange files from initiation through completion—reviewing purchase contracts, preparing customized exchange documents, and coordinating details for properties.
- Partner with closing attorneys, title companies, and settlement agents to ensure all documents are accurate, complete, and delivered on time for smooth closings.
- Track and calculate critical IRS deadlines and proactively communicate key dates to clients and their advisors.
- Maintain organized, audit‑ready files and accurate transaction records in internal databases.
- Record deposits, disbursements, fees, and wire transactions, obtain necessary approvals, and reconcile balances to keep financials transparent and precise.
- Prepare transaction summaries and information packets that help clients and stakeholders clearly understand the status and structure of each exchange.
- 3–5 years of experience in 1031 exchanges, real estate transactions, title/escrow, or a closely related field, with a solid grasp of how deals move from contract to closing.
- An Associate’s or Bachelor’s degree and strong comfort with Microsoft Office and database systems to manage documents, deadlines, and financials.
- Exceptional attention to detail, especially in reviewing contracts, preparing documents, and handling financial calculations and records.
- A disciplined, organized approach to managing multiple files at once while staying ahead of deadlines and follow‑ups.
- A client‑first mindset and sound judgment, with the ability to solve problems, anticipate issues, and know when to pull in senior team members.
- Bonus points for experience directly coordinating IRC Section 1031 exchanges, working in real estate legal support or closing coordination, knowledge of IRS 1031 regulations, or a Certified Exchange Specialist (CES) designation.
