Position SummarySeeking a detail-oriented Office Assistant to support administrative operations, inventory management, document preparation, client mailing activities, office supply coordination, shipping logistics, and general office support. This role works closely with multiple internal team members and is responsible for maintaining accuracy, organization, and timely completion of administrative tasks in a deadline-driven environment.
Key Responsibilities- Prepare, organize, and distribute client documents, mailings, and printed materials.
- Manage office inventory and coordinate ordering of supplies from vendors such as office supply providers.
- Support document compilation, data entry, data gathering, and data summarization projects.
- Assist with shipment preparation, including organizing, labeling, packing, and coordinating delivery of materials and supplies.
- Work with shipping partners to coordinate outbound materials and deliveries.
- Provide administrative support to multiple internal stakeholders requiring documentation, mailing, and project assistance.
- Perform auditing, quality checks, and cross-verification of documents and records to ensure accuracy and confidentiality.
- Provide occasional phone support and general office assistance as needed.
- Minimum of 2 years of office administration or related experience.
- Proficiency with Microsoft Outlook, Teams, Excel, and Word.
- Familiarity with Mac operating systems preferred.
- Strong organizational skills and attention to detail.
- Excellent communication skills and the ability to work with multiple internal customers.
- Positive, service-oriented attitude with a willingness to handle both routine and varied administrative tasks.
- Part-time position, approximately 20 to 30 hours per week.
- Hours may be scheduled within a standard business-day framework, with flexibility for a predictable recurring schedule.
